TEMPORARY FACILITY SERVICES TECHNICIAN

FACILITY SERVICES

$35.79/hr based on a 35 hour work week

Anticipated Length of Temporary Position: November 18, 2024 to June 26, 2026

SCOPE

Reporting to the Manager of Capital Projects, the incumbent will be responsible for Ministry of Education facilities management databases (VFA-Facility/TCPS and SFIS) including regular database updates, maintaining current Floor Plans and Site Plans of all Board facilities, and assisting with the provision of technical documents and files to Facilities Management staff and external consultants.

DUTIES

1. Maintain VFA-Facility/TCPS Facilities Management database including regular updates, reporting to Ministry of Education, and coordination and support to the Capital Analyst as required. Ensure capital project information is entered accurately in VFA-Facility/TCPS.

2. Ensure accuracy of School Facility Inventory System (SFIS) and update database as required.

3. As the Board’s representative, provide assistance to consultants during periodic site visits for building condition assessments at all Board facilities.

4. Maintain, secure and care for the technical document library which includes drawing prints and original drawings of varying ages, construction contract documents (drawings & specifications), Building Permit drawings, CAD and PDF drawing files, operation and maintenance manuals, warranty manuals, As-built drawings (CAD and hard copies), technical publications, spare parts manuals and electronic data (CAD, PDF, TIFF) formats. Maintain and organize the Facilities Management Drawing Archive Room and establish a technical document lending protocol.

5. Ensure access to digital documentation for Board staff. Provide, upon request, hard copies or digital files in a variety of formats. Convert drawings/documents from paper format to digital (scanning). Upload current Floor Plans and Site Plans and project documentation (drawing and project database) to CMMS software (Computerized Maintenance and Materials Management System) such as eBase.

6. Continuation of Floor Plan and Site Plan updating project, as well as room numbering of all Board facilities, including installation of room number ID tags as required.

7. Answer inquiries for facility-related matters including calculation of gross floor areas, site areas, Facility Condition Index (FCI), building condition assessment information, etc.

8. Provide project support including but not limited to updates to financial software (Sparkrock and eBase) to Capital Project Supervisors.

9. Provide assistance and documentation to Planners as required.

10. Perform Building Code analysis, review of existing drawings/layouts and specifications, conduct site visits to determine existing facility condition and other pertinent information as required.

11. Attend regular training for VFA-Facility/TCPS as required.

Other duties as assigned.

QUALIFICATIONS

1. Two or three year college diploma in related field, eg. Architectural Technician or Architectural Technology.

2. Proficiency in a variety of software applications including Microsoft Word, Excel, Project, and Outlook.

3. Proficiency and practical experience using AutoCAD.

4. Proficiency using VFA-Facility/TCPS, SFIS, Sparkrock and eBase would be considered an asset.

5. Knowledge of construction, design and drawing techniques, building legislation and codes.

6. Knowledge of drawing and image file formats and conversion techniques.

7. Knowledge of the Ontario Occupational Health & Safety Act as it relates to construction projects, including Asbestos Regulations.

8. Excellent organizational skills combined with the ability to identify priorities and produce timely accurate work.

9. Excellent written and verbal communication skills.

10. Excellent analytical and problem solving skills.

11. Valid driver’s license and reliable transportation required.

12. Knowledge of the Board’s buildings specifications would be considered an asset.

13. Construction-related experience would be considered an asset.
