Position Overview:

We are seeking a dedicated Business Office Clerk to join our team. The role primarily entails providing crucial administrative and accounting support within our dynamic business office. The ideal candidate will thrive in a fast-paced environment, possess exceptional organizational skills, and exhibit a keen eye for detail. This position reports directly to the Business Office Controller and offers an excellent opportunity to contribute to the operational efficiency of our College.

Key Responsibilities:

Administrative Support:

Assist in managing office operations and maintaining a welcoming environment for staff, students, and visitors.

Monitor and manage calls, emails, and inquiries promptly and professionally.

Support the admissions process through the performance of credit checks and recommendations on fee plans

Provide support to the bursary / financial aid function by downloading various reports and preparing summary recommendations. Also, act as a full backup in this area.

Support to central procurement acting through purchases, understanding and usage of the Corporate Amazon account along with supply accounts.

General administrative functions as assigned

Accounting Functions:

Provide support to student billing function including but not limited to processing parent payments on account, responding to generic parent email inquiries, processing of routine bill amounts as requested

Act as a back-up function to student billing officer during absences so must have a sound understanding of the process and generating of student/parent statements

Support the organizational budget process including roll forward of annual budget templates, input of actual results, estimate year end results for final budget forecasting and communicate with budget constituents as required

Work with the staff accountant to support the College-wide school trip functions through the collection of information to support the drafting of trip budgets, provide recommendations on streamlining processes

Management of the business office corporate credit card and support central procurement with management of the temporary credit card program and establishment of constituent credit limits

Prepare routine accounting working papers as requested or as assigned.

General Office Duties:

Manage office supplies inventory and coordinate procurement as required.

Handle mail distribution and courier services efficiently.

Ensure filing systems are maintained and up to date.

Qualifications:

High school diploma or equivalent; additional education or training in business administration or accounting is preferred.

Proven experience (1-2 years) in an administrative or clerical role, preferably in an educational or non-profit setting.

Proficiency in MS Office (Word, Excel, Outlook) and familiarity with accounting software (e.g., QuickBooks).

Strong organizational and multitasking skills with the ability to prioritize tasks effectively.

Excellent verbal and written communication skills, with a high level of professionalism and discretion.

Salary: Band 3: $39,785 - $59,678
