About the Opportunity:

As part of the Financial Services department of our client, the Legal Assistant will be responsible for coordinating workflows for various support services, including delegating tasks, reviewing document production, managing files, and overseeing copying/scanning tasks, along with other administrative duties. The Legal Assistant will take a proactive approach to understanding all aspects of client needs, ensuring that high levels of service are consistently provided to both the lawyers and clients.

Responsibilities:

  • Manage calendars, coordinate meetings, book travel arrangements, and handle administrative tasks such as photocopying, printing, and sending out correspondence.
  • Handle internal and external communication, including telephone queries, emails, and posts, ensuring messages are passed on and client correspondence reaches the appropriate lawyer.
  • Support client relationship management by maintaining CRM data, handling client queries, and arranging client meetings.
  • Assist in document production by reviewing and amending documents, and typing confidential correspondence as needed.
  • Review correspondence, attachments, documents, reports, presentations, faxes, etc., produced by the Document Production team before they are forwarded to the relevant lawyer, making minor amendments as necessary.
  • Support lawyers and the Billing Coordinator in the billing and credit control process by coordinating with lawyers and the accounts team, and generating standard prebill financial/time reports through the system.
  • Prepare and send bills to clients, ensuring all relevant covering documents are included.
  • Process requests for cheques, bank transfers, and manage the deposit of received payments as required.

Qualifications:

  • 2 - 5 years of experience as a Legal Administrative Assistant.
  • Legal Administrative Assistant certificate required.
  • Experience in opening files, billing and funding by wire.
  • Knowledge of Microsoft Office Suite and other systems.
  • A team player with excellent interpersonal skills.
