This vacancy is for an existing position.
As a Privacy Analyst reporting to the Manager, Privacy, you will play a key role in supporting the day-to-day operations of LifeLabs’ privacy program, helping to ensure compliance with applicable privacy laws and internal policies. This position supports a dynamic, national organization by serving as a central resource for privacy inquiries, initiatives, and program development. It offers the opportunity to contribute to impactful, forward-thinking health initiatives while working as part of a collaborative and high-performing privacy team.
Your responsibilities will include:
Customer Service for Privacy Inquiries & Complaints
Act as the first point of contact for privacy-related requests received to the Privacy mailbox from external parties:
- Sending initial acknowledgement emails to customers, healthcare providers and regulators
- Investigating and responding to customer and provider complaints and inquiries, which includes working with applicable business units
- Documenting and keeping records for all requests received in the appropriate log
- Triage inquiries to appropriate departments where privacy cannot assist (e.g. My Care Compass, Customer Support)
- Escalate inquires and complaints as necessary
Internal Stakeholder Support
Provide support to internal stakeholders in connection with LifeLabs’ privacy program and projects which may include:
- Reviewing, investigating and following up on Non-Conforming Event (NCE) and Customer Experience Management (CEM) notices assigned to privacy
- Providing guidance and support to Customer Support/Patient Service Centre (PSC) teams to assist them in following proper procedures related to patient requests
- Promoting privacy awareness
Privacy Incident and Breach Investigation
- Assists with investigating alleged and actual privacy breaches, summarizes findings, logs details and escalates to the Senior Privacy Analyst and/or Manager as appropriate
- Provides guidance to staff to ensure they are following LifeLabs’ Breach Management Protocol as it pertains to their participation in the breach management process (e.g. guiding them to produce relevant documents, assisting with patient notification requirements, etc.)
Auditing
- Follows established audit practices across the organization and conducts regular audits to verify adherence to privacy policies and procedures. This includes using our third-party software to monitor for unauthorized uses of PHI
- Follows up with leaders where suspected unauthorized use may have occurred
- Liaise with HR Business Partners as required
Privacy Impact Assessments (PIA)
- Completing PIAs for low-risk or straightforward projects, new initiatives and lab instrumentation
What you will bring to the role:
- Bachelor’s degree in Business, Legal, Health Information, Information Management, or a related field
- At least 2-3 years’ operational experience in a privacy role, preferably within a healthcare organization
- Knowledgeable in applicable privacy laws and regulations (preferably Ontario’s PHIPA, British Columbia’s PIPA) and awareness of how these are applied within the health care sector
- Experience with processing and responding to customer privacy inquiries and complaints, conducting privacy audits, and assisting in privacy breach investigations
- Experience assisting with, or conducting Privacy Impact Assessments
- Knowledge of and the ability to interpret decisions, orders, guidelines and policies of provincial and federal Information and Privacy Commissioners
- Strong critical thinking and analytical skills to investigate privacy breaches and/or patient privacy complaints
- Strong written and oral communication skills to ensure effective engagement with all stakeholders
- Inquisitive and self-motivated
