Mackenzie Health is embarking on a multi-year modernization of its human resources, finance, and supply chain services to implement a new Enterprise Resource Planning system (ERP). The ERP project is a pillar of enabling exemplary corporate services functions which will provide a backbone of support for the entire Hospital. These services play a critical role in ensuring the efficient and effective use of resources, to enable high quality care, and ensuring Mackenzie Health complies with ever-changing regulations. Corporate services transformation is at the forefront of the organization’s priorities to create a more agile, responsive, and efficient system.


Mackenzie Health is seeking an experienced individual to play a key lead role in this ERP project, focusing on providing leadership, guidance, and expertise on the implementation of the finance functionality of a new ERP system. As the Finance Lead, you will play a pivotal role in streamlining operations and finance processing, while implementing and optimizing the finance systems.


The successful candidate is a highly motivated individual who will play a critical role in the overall success of the ERP implementation, by ensuring existing and future finance business needs are met and optimizing best practices. They will ensure that the finance processes and system continue to evolve, enhance, and is maintained within the ERP solution after go-live. The successful candidate will be part of a dynamic team committed to delivering innovative solutions that enhance operational efficiency and support our mission of delivering exceptional healthcare services

Primary Responsibilities:


Implementation

  • Provides leadership. An innovative thinker who, with the support of their project manager, assigns tasks, identifies, tracks, and removes blockers (risks, issues). Ensures sufficient resourcing is available to complete tasks. Escalates blockers as appropriate.
  • Gather and establish finance requirements and business needs via business process analysis and consultation.
  • Identifies and tracks assumptions, constraints, and ensures program methodology and standards are being adhered to.
  • Identifies tasks and assists in the creation, coordination, and execution of program work plans/deliverables, revising as appropriate to meet the changing needs/requirements of the program.
  • Leads their team, in conjunction with the vendors, for functional procedure identification and modification. Works collaboratively with the change lead/analyst to identify change management needs and identifies change impacts.
  • Supports the ongoing decision-making and adherence to the program timelines.
  • Creates and/or reviews and/or approves program deliverables. Ensures deliverables are high quality and aligned with program standards. Resolves any issues related to deliverable completion and/or escalates appropriately.
  • Provides updates to the Director ERP Implementation & Transformation and community infrastructure regarding deliverable / task / sprint completion levels.
  • They are a champion for change. They promote and educate their teams on best practice adoption, program methodology, program RACI, program governance, and program strategies.
  • Continually seeks opportunities to increase stakeholder satisfaction and strengthen stakeholder and vendor relationships by:
    • Developing and promoting a collaborative working environment with staff through strong positive working relationships; and
    • Fostering and maintaining positive working relationships with vendors
  • Adopts a “one team” approach:
    • Works cross-functionally and collaboratively with team members and stakeholders to ensure the program is successful.
    • Ensures that work is done collaboratively. Ensures workshops have appropriate team members and stakeholders.
  • Works with their team members and the Director ERP Implementation & Transformation to ensure deliverables are completed, KPIs are met, and communications are ongoing.
  • Technical Support: works together with the technical team to create functional/technical specifications, security profiles, etc.
  • Organizational Change Management Support: Works with the vendor and the organizational change management lead/analyst for training development and delivery and other OCM tasks (as assigned).
  • Data Conversion Support: Works with the vendor and data team members to assist with assigned data conversion items which may include sourcing, mapping, cleansing, extracting etc.
  • Testing Support: Executes testing and/or aids with testing as assigned. Creates/updates test scripts as assigned.
  • Procurement Support: participates in any required procurement which may include RFPs, quotes etc.
  • Develops and implements short and long-term technology plans, in collaboration with the finance team, to deliver the department’s business goals and objectives.
  • Develops finance business cases for new technology solutions.
  • Demonstrates a commitment to efficiency and continuous improvement through innovation and best practices during and post-implementation.
  • Establishes goals and implementation plans to achieve high-quality deliverables within expected timeframes. Monitors progress, manage risk, and ensure key stakeholders are kept informed about progress and expected outcomes.

Post-Implementation

  • Maintains/develops and delivers training, user guides, and facilitates communications to ensure that the end-user understands the ERP for finance functional and/or process areas.
  • Develops, updates, and/or maintains test scripts, manuals, and other materials related to the finance area.
  • Provides ongoing process and system support and guidance to the finance department and system users post-implementation regarding the ERP system for finance. This can include such things as maintenance activities and/or minor process enhancements and system enhancements, and/or projects.
  • Proactively monitors system tickets, issues, and processes to identify technology and process opportunities and challenges. Analyzes, revises, and validates business processes and work procedures related to the optimal use of the finance core system.
  • Collaborate with IT and compliance teams to establish data governance standards and protocols.
  • Responsible for the maintenance of finance standards and controls to ensure data integrity and finance functionality by resolving problems and recommending solutions to meet requirements. Acts as a subject matter expert and monitors and validates master data, for applicable areas.
  • Acts as a subject matter expert for defined ERP functional and/or process area(s).
  • Accountable for uninterrupted operation and scheduled maintenance of the Finance core functionality, including ensuring the resolution of incidents, requests, and problems.
  • Receives, investigates, and resolves ERP system tickets for defined functional and/or process areas, which involves:
    • Conducting an analysis of the identified issue and/or problem;
    • Searching for solutions within the ERP solution database;
    • Troubleshooting issues and/or problems with affected stakeholder(s) and providing applicable solutions;
    • Escalating service tickets, when required, to the applicable third-party vendor(s) and collaborating with the third-party vendor to resolve issues and/or problems;
    • Notifying and providing affected stakeholder(s) with information and/or anticipated resolution timelines; and
    • Documenting and addressing issues and/or problems.
  • Develop metrics related to system efficiency improvements, user satisfaction and process optimization.
  • Coordinate release management activities of the finance core system (e.g., Release management planning; evaluation & impact assessment; testing & deployment.)
  • Participates in the build, maintenance, and enhancement of reports from the ERP system for finance.
  • Monitors and interprets trends and best practices specific to finance and advises the Director, ERP Planning & Implementation on future development opportunities, the potential impact to the Mackenzie Health, and/or for decision-making/action planning purposes.
  • Conducts research; and prepares ad hoc reports for the Director, ERP Implementation & Transformation.

What must you have:

  • Post-secondary degree in finance, information technology management, computer science or business program, or related combination of education & experience.
  • Project Management Professional certification (PMP) is an asset.
  • Chartered Professional Accountant certification (CPA) is an asset.

What else do you bring:

  • A minimum of five (5) years’ experience with translating finance business requirements into project requirements preferably in a healthcare setting.
  • Three to five (3-5) years’ experience managing finance applications and enabling technology.
  • In-depth knowledge across a wide spectrum of finance processes, principles, compliance requirements, and best practices.
  • Evidence of strong interpersonal and communication skills, including above average writing & presentation skills, for working with individuals and teams at all levels of an organization
  • Ability to collaborate with cross-functional teams and drive initiatives in a dynamic organizational environment.
  • Strong leadership skills.
  • Excellent problem-solving, analytical, and time-management skills.
  • Must be able to multi-task and effectively juggle competing priorities while managing stakeholder expectations.
  • Ability to perform the essential duties of the job.

Preferably, your profile also includes:

  • Change management expertise with a track record of successfully driving organizational change initiatives, preferably in large, unionized organizations.
  • Previous leadership roles are preferred.
  • Proven ability and experience in business process documents and training end-users on new processes.
  • Experience with project management, release management, process design, configuration, and testing, preferably in a healthcare setting.
  • Certification in change management preferred.
