HR System Specialist - Dispatch

Basis: 11 months - 5 days per week - 7 hours per day

Hours of work: 6:00 a.m. - 2:00 p.m.

Under the limited supervision of the Manager of Human Resources, the incumbent facilitates the automated dispatch system for Teachers/TTOC and Support Staff/Casual replacements and records support staff absences and dispatches replacements as required. The incumbent ensures accuracy of absence/dispatch records and the efficient operation of the Dispatch system. Work is varied and requires independent judgement and initiative supplemented by a strong understanding of the organization and structure of the School District, as well as the Collective Agreement(s) and contract provisions.

Please note this position offers the potential for a remote work arrangement.

TYPICAL DUTIES:

Monitors and maintains the Automated Dispatch System (ADS) for support and teaching employees.

Supports employees in all employee groups with inquiries relating to ADS, Workboard, Absence Entry, and Unavailability records.

Receives and records messages related to absences, and enters absences as required.

Contacts TTOCs and casual employees by phone as needed, requesting they report to work at various locations.

Follows pertinent sections of the Collective Agreements, replacement procedures and guidelines.

Maintains a record of all teacher/support staff absences and replacements dispatched.

Obtains and verifies appropriate forms, documents and approvals and ensures Dispatch profiles are complete and accurate.

Maintains documentation to support time owed as a result of class size and composition (“Remedy”) for each school

Monitors and maintains the Event Maintenance database and reports concerns to the appropriate supervisor.

Types, files, and duplicates a variety of materials.

Other assigned job-related duties.

ABILITIES, KNOWLEDGE AND SKILLS:

Ability to communicate and maintain effective working relationships with Teachers, Teachers teaching-on-call, Support staff, casual employees, Principals, Managers and other employees of the Board.

Ability to work independently.

Ability to prioritize and organize workload, work under pressure and to complete assignments with minimal supervision.

Ability to establish, organize and maintain record keeping systems.

Knowledge of office procedures and ability to operate a variety of office machines and equipment.

Advanced knowledge of current software applications, including web browser, word processing, spreadsheets, email and database applications.

Knowledge of the organization and structure of the School District.

QUALIFICATIONS:

Grade 12 supplemented by office procedures, word processing and data processing courses at the post-secondary level.

Two (2) years proven previous clerical and data processing work experience required.

Position requires incumbent(s) to commence work at 6:00 a.m.

Keyboarding - 60 WPM
