Story Behind the Need

• Business group: Real Estate - Manage new or existing locations, new branches, consolidations and renovations for Canadian Branch Network.


The Project Coordinator reports to the Signage Project Manager - Canadian Branch Network and is responsible for the co-ordination and management of roll-out initiatives and special signage & branding projects as assigned within the Canadian Branch Network to the satisfaction of end users while ensuring quality work and value effective solutions.

Roll - Out initiatives support for the signage & rebranding team both on the exterior & interior for each location. The incumbent is responsible to ensure projects are completed in accordance with the Bank’s architectural standards meeting audit guidelines and requirements, within the approved budgets and established schedules. The incumbent may also need to hire vendors, consultants, architects and general contractors to ensure timely delivery.

The incumbent must ensure that the delivery of services is consistent with Bank standards and procedures, to customers, branches, Executive Offices' departments and subsidiaries, as well as ensure the practice of the Bank's Guidelines for Business Conduct.

The incumbent works independently to co-ordinate project schedules and requests and expedite approvals. The incumbent is expected to exercise initiative and to take independent action in managing designated projects to achieve objectives based on the understanding of real estate policies, guidelines and requirements as agreed with the Signage Project Manager - Canadian Branch Network. Details are very important and can be time-consuming, and a commitment to spend extra time to ensure the quality of work completed is essential.


Daily responsibilities:

1. Undertake the co-ordination of project roll - out initiatives and special projects as assigned:

a. Obtaining and expediting approvals from landlords, branches and user groups

b. Maintain ongoing contact with branches, user groups, outside consultants and contractors/vendors to obtain status of project in order to identify potential timing problems and quick resolution;

c. Monitoring, recording and forwarding for payment invoices related to the projects;

d. Ensuring project files are maintained in a complete, up-to-date manner & in accordance to our Department and Audit guidelines; and

e. Follow-up on any deficiencies reported by branches, ensuring immediate and effective remedial action by consultants, contractors, or suppliers.


2. Enhancing client service by:

a. Keeping projects current/updated in the database; and

b. Working with clients to improve efficiency


3. Undertake other special projects, as assigned.


Must have:

• 1-2 years of knowledge of and experience in construction methods and materials, architectural, and detailed knowledge of contract and construction documentation.

• 1- 2 years of experience contacting and building communication loops with Bank user groups, external landlords as well as managing a team of design and construction consultants, often with competing interests.

• PC skills required include Word, Excel, Internet searching and our Project Reporting Systems (PRS).

• The incumbent must have excellent prioritization and scheduling skills, and have knowledge of construction, design and relevant business practices as well as Bank standards in order to effectively manage designated construction projects.


Nice to have:

• 1-2 years of experience in the coordinator role, specifically in the construction field would be an asset.



Education and Certifications:

• An undergraduate degree in a quantitative subject (Economics/ Accounting/ Finance/ Statistics).
