Summary Of Duties:

The Administrative Assistant, Gift Shop & Retail Vendors Department, primary function is to provide administrative support to the Director.  The Admin Assistant leads in facilitating the Vendor Program.  Administrative support and customer service is also provided to the Gift Shop, volunteer fundraising groups, and patient comfort & care programs in order to support the continued success and development of the department.  
•          Manage calendar of Director 
•          Prepare expense claims, verify invoices, track expenditures 
•          Book meetings, prepare agenda, take minutes, prepare correspondence 
•          Facilitate a successful vendor program, including booking, monitoring vendors and planning and implementing seasonal vendor fairs 
•          Verify payments, investigate out of balances 
•          Update gift shop website, maintain inventories, and prepare orders 
•          Create and maintain spreadsheets for various fundraising activities and groups, provide other admin support to these areas 
•          Answer email, telephone inquiries, and prepare communication pieces 
•          Maintain accurate and up to date automated and manual filing systems 
•          Order supplies and maintain inventories, monitor expenses to budget 
•          Other projects and duties as assigned 
 

Qualifications / Skills:

•    Post-secondary diploma required; business or related is preferred
•    Minimum three years of administrative experience; retail setting is preferred
•    Experience with retail bookkeeping is preferred
•    Intermediate-advanced level skill in MS outlook, Word, Excel, PowerPoint
•    Experience with POS systems, comfortable with cash and credit balancing
•    Ability to quickly and independently learn new software systems
•    Ability to work with a minimum level of supervision and prioritize and organize work with a high level of accuracy and attention to detail
•    Excellent interpersonal, customer service, verbal, and written communication skills
