The Opportunity
The Office Manager is responsible for facilitating the organizational effectiveness and efficiency of office operations and procedures.
The Role
- Maintains office services by organizing office operations and procedures; designing and
securely maintaining filing systems; assigning and monitoring clerical functions and
maintenance of office supplies - Completes operational requirements by scheduling and assigning employees, following up
on work results. - Coordinate, train and implement Traverse and related procedures pertinent to functions
within the admin and service team as required. - Keeps management informed by reviewing, identifying trends and analyzing reports,
summarizing information such as: Days to estimate; Days to invoice; Weekly and thorough
WIP review; Daily invoicing, AR / AP disputes, and Customer portals. - Coaching, mentoring, planning, monitoring, and appraising job results of Administrative
Staff - Dealing with customer complaints and queries related to administrative functions
- Serve as first line contact with customer on scheduling of incoming work, paying close
attention to detail and commitments (telephone and counter service). - Initiate work order (detailing customer instructions and authorized work). Involve Service
Manager and/or Shop Supervisors as required. - Assist Director with facility related actions (inspections, repairs, and maintenance).
- Work closely with the Service Manager on scheduling and productivity efficiency by
monitoring labor and material to Estimate - Support overall business requirements pertaining to fleet and camp / housing.
- Obtain purchase order numbers and or appropriate coding from authorized customer A
high energy level and ability to exercise patience with customers representative for
estimated repair and/or replacement work and record appropriately. - Support social and community events within the branch.
- Promote a professional company image through prompt, thorough, and courteous
customer service which will include advising the customer of completion time and or any
change to cost or the delivery expectation which requires appropriate monitoring of said
repair through the repair process.
The Candidate
- Education: College or Secondary Education
- Work Experience: 3-4 years in an Office Management or Service Advisor position
- Knowledge: Proficient computer skills using a range of office software, including
email, spreadsheets and databases - Proficiency: Microsoft office, including Outlook, Excel, Word, and PowerPoint
- Excellent communication skills, both verbal and written including electronic
communications
