Under the supervision of the Executive Vice President, Business Development and Operations, the incumbent will have to plan, organize and coordinate all procedures, activities and administrative and operational documentation for the Executive Vice President to ensure that all Information and requests are routed and processed quickly and efficiently.

This person will have excellent writing skills in order to prepare and complete documents that must be presented to different audiences, particularly presentations intended for the APM board of directors.

The incumbent will be required to follow up with certain managers on the progress of files requiring intervention. He or she will be responsible for managing the agenda and organizing meetings, coordinating certain working committees, managing and planning business trips, compiling data, etc., for the vice-president executive.

This person will also have to support the management team in certain administrative tasks, such as organizing meetings, managing email requests, coordinating the reception of visitors to the Port, or even managing events. corporate and business partners of which the APM is a partner.

Qualifications

  • Seven (7) to ten (10) years of experience in a senior management assistant position in a similar environment;
  • DEC in business administration or administrative secretarial work, or the equivalent. Any combination of education and experience will be considered.
  • Essential bilingualism (English and French);
  • In-depth knowledge of various software (Word, Excel, Powerpoint);
  • Excellent communication and interpersonal skills, both orally and in writing;
  • Strong writing skills;
  • Tact, diplomacy, showing discretion and great confidentiality are essential qualities;
  • Ability to understand complex and sensitive issues and take necessary actions using excellent judgment;
  • Ability to work with figures and performance indicators, production of dashboards;
  • Ability to coordinate and monitor various working committees;
  • Excellent organizational skills and ability to manage stress, particularly when dealing with multiple priorities often within tight deadlines;
  • Ability to work under pressure when necessary;
  • Demonstrated ability to coordinate meetings, agendas and business travel;
  • Sense of initiative and autonomy;
  • Great efficiency and ability to work under minimal supervision.
