Churchill Square Addiction and Mental Clinic is an outpatient clinic located downtown Edmonton. We provide addiction and mental health services to individuals, couples, and families who have been impacted by substance use, behavioural addictions, and mental health concerns. This clinic offers screening/assessment, individual addiction counselling, group support and treatment, addiction psychiatry consultation and a 2-week day treatment program. This Administrative Support III position is responsible for daily reception. This position involves working closely with and providing administrative support to the interdisciplinary team (Mental Health Therapists, Addiction Counselors, Clinic Nurses, Psychiatrists, and support staff) and is the initial point of contact for clients. The Admin III is responsible for processing high volumes of public and staff inquiries, both in-person and via telephone, and plays a key role on the team in terms of client engagement. They require knowledge, skill, and judgment in providing administrative services to clients and family members impacted by an addiction or mental health concern. The position requires strict adherence and sensitivity to confidentiality. The working environment is busy with many overlapping needs and demands throughout the day requiring flexibility, creativity, collaboration and the ability to multi-task effectively. Developing and supporting administrative relationships with AHS staff, partners and other multi-agency professionals is essential. Other duties as assigned may include, data collection, scheduling appointments, and other related tasks. This role involves extended periods of sitting with repetitive hand movements, keyboarding, and telephone handling, with the ability to work in a busy, noisy work environment.

As an Administrative Support III, you will require advanced administrative or specialized skills and knowledge to support complex procedures, practices and initiatives within a department or program.

Completion of Grade 12 or equivalent.

Excellent computer proficiency with Electronic Medical Records (Connect Care), and experience with Microsoft Word and Excel. Attention to detail and professional, courteous, prompt customer service. Must have excellent interpersonal and conflict resolution skills. Must have the ability to organize and prioritize. Must be flexible and able to meet the demands of changes in work assignments. Must have proficient use of the English language oral and written. Ability to multitask and manage a high volume of confidential clinical information is required. Must have working knowledge of privacy legislation (HIA and FOIP) and the Mental Health Act. Candidate must be able to tolerate regular twisting and reaching, repetitive hand movements, keyboarding and telephone handling. Must be able to lift file boxes up to 20lbs.

Two years recent related secretarial experience, including customer service and conflict resolution experience would be an asset. Previous experience working in the area of addiction and mental health is preferred. Completion of post-secondary education (e.g. course(s) in business administration, medical office assistant), or other related fields would be an asset. Experience operating multi-line switchboard would be an asset.
