The clerical support/unit clerk reports to and works under the general supervision and direction of the Assistant Manager, Allied Health. The incumbent will provide direct clerical support in the Royal Alexandra Hospital Rehabilitation Services Department to a large, frontline multidisciplinary team. The incumbent works directly with both administrative and clinical providers. The incumbent is responsible for building and maintaining templates for timesheets and scheduling for multiple rehabilitation teams, processing incoming time off requests, etc. They complete various onboarding tasks for new hires within the department. As needed, payroll and timekeeping tasks are completed; and assisting the supply coordinator as needed. They assist with the receptionist/unit clerk duties for the RAH Hand Therapy Clinic. The incumbent directly assists and supports both clinical staff daily in their role and supports the patients within the RAH Hand Therapy Clinic. The incumbent will answer telephones; register/check in patients in Connect Care Scheduler; fax WCB and other health care facilities; enter and collect payments in Connect Care; scan documents into Connect Care; and maintain the Connect care work queue. The incumbent must be able to work cooperatively with others positively within a team environment. They utilize tact and courtesy in dealing with staff, visitors, patients, and the public. They can organize work independently with their own initiative and judgment, adjusting their work assignments, workload, and timelines. They maintain confidentiality. They can perform work with frequent interruptions. The RAH Rehabilitation Services Department seeks to provide excellent patient-centered care through education, mentorship and implementation of evidence and best practice strategies, and every team member is essential in ensuring this happens.

As an Administrative Support III, you will require advanced administrative or specialized skills and knowledge to support complex procedures, practices and initiatives within a department or program.

Completion of Grade 12 or equivalent.

Recognized Unit Clerk, medical office assistant certificate, or equivalent is required. Minimum 1-year acute care health facility medical office experience is required. Proficiency in Microsoft Office 365 (Word, Excel, Power Point, Outlook) is required. Knowledge of e-People timekeeping is required. Proficient knowledge of Connect Care Scheduling is required. Knowledge of hospital scheduling practices and union collective agreements is required. Demonstrated strong organizational skills, attention to detail, and accuracy is required. Excellent communication and interpersonal skills are required. Must be able to embrace change. Must be motivated, self-directed, and able to prioritize competing tasks. Must be able to work independently as well as in a team setting. Must be flexible, able to prioritize and organize to meet the needs of a large, multi-disciplinary team.

A comprehensive understanding of Rehabilitation and Therapeutic services in both acute and outpatient settings is an asset. Reliability and accountability are essential.
