We are looking for an enthusiastic and experienced Administrative Support IV for our Edmonton Zone Diagnostic Imaging Central Scheduling Team! This position is accountable to the Manager of EZ Central Scheduling, Projects, and Initiatives for the effective performance of numerous clerical duties relative to the scheduling of Diagnostic Imaging exams at sites across the Edmonton Zone. As an Administrative Support IV in this department, you will be required to provide accurate and efficient scheduling of DI exams while maintaining a Zone-wide waitlist across multiple sites and imaging modalities. Working under minimal supervision, you will liaise with radiologists, physician’s offices, administration, and other hospital departments to address scheduling needs across the Edmonton Zone while following provincial scheduling guidelines to ensure that patient exams are scheduled appropriately. The Administrative Support in this position will be responsible for a variety of administrative tasks which may include patient pre-registration, transcribing and scheduling physician orders, and communicating with patients in a timely and accurate manner with various dates, times and instructions related to their Diagnostic Imaging exam. A high degree of tact, diplomacy and patience is required as many of these patients can be in a stressed and unwell state. Accuracy is required to ensure that scheduling is completed according to provincial guidelines and that all pertinent information is relayed and understood by patients.

As an Administrative Support IV, you will require advanced administrative or specialized skills and knowledge to support complex procedures, practices and initiatives within a department or program.

Some post-secondary education.

Grade 12 high school diploma or equivalent. Medical Office Administration Certification with Medical Terminology Certification required. Minimum of three (3) years recent Diagnostic Imaging experience required with an understanding of Diagnostic Imaging scheduling processes. Word Processing experience with MS Office Suite required. Must be cognizant of all legal regulations and AHS Policies as they apply to Diagnostic Imaging (for example, HIA & FOIP). Must have excellent oral and written communication skills with the ability to listen, comprehend and orally respond to or relay information, directions, or questions in person, over the phone or in writing, in an accurate, clear, and concise manner. Must have excellent interpersonal and public relation skills with polite and pleasant telephone manners. Must be able to work at a fast pace to consistently produce a high level of accuracy, attention to detail, and efficiency. Ability to work and problem solve under minimal supervision required. Ability to sit or stand for long periods of time at a computer. Must be able to organize and prioritize tasks, while adapting to changing circumstances and interruptions.

Experience with an imaging archive (PAC’s) system preferred. Minimum 1 year scheduling experience with Connect Care preferred.
