Description
The Administrative Support IV is responsible for the efficient and effective administration of the assigned Department of Psychiatry physicians’. Including the Site Chief for South Health Campus. This position must be able to act independently and in collaboration with physicians’ while managing their busy schedules. You will have strong administrative skills in an executive setting with a full understanding of Alberta Health Services to function effectively. You will be self-directed in resolving issues and professionalism is paramount in representing the Department to internal and external stakeholders. You will be involved in assessing and coordinating daily schedules of physician(s) and maintain calendars, exercising careful judgement, and have knowledge of priorities. Strong communication is essential to this role and relaying information to the physician(s) regarding correspondence, phone messages, and meeting requests. Assisting with their educational roles with the U of C. You will be responsible for planning and coordinating meeting or retreat logistics, preparing agendas and minutes, as well as submitting expenses. Creating quarterly on call schedules for SHC, Consultation Liaison, and Psychiatry Adult Services and input into the ROCA system. Billing for physician on call payments. Finance tasks with U of C. Supporting the clerkship program including placements, scheduling, and onboarding. Responsibility of the Associate Physicians for the Department of Psychiatry including scheduling and time keeping. This role will also serve as back up to the other administrators in the department.
As an Administrative Support IV, you will require advanced administrative or specialized skills and knowledge to support complex procedures, practices and initiatives within a department or program.
Some post-secondary education.
Minimum University or relevant technical degree required. Minimum 3 years’ experience supporting leadership physicians. Minimum 5 years administrative experience required. Scheduling, ROCA required. Demonstrated proficiency using MS suite, Excel, Word, and Outlook Calendar. Knowledge of University of Calgary proprietary systems; PeopleSoft, eFin, and Trust Accounting. You will have a keen ability to establish priorities of workload as they relate to multiple responsibilities and deadlines while dealing with a high volume of interruptions and multi-tasking. Excellent attention to detail, proofreading with accuracy and efficiency. Professionalism and collaborative attitude to work with staff at a variety of levels.
