Description
Under the supervision of the Site Director, the Administrative Support IV-Staffing Liaison serves as a connection between the Strathcona Community Hospital, Northeast Community Health Center and Staffing Services Centre. The Administrative Support IV will support the site-based programs and communicate with the Staffing Service Center to update the Environment for Scheduling Personnel (ESP) with any schedule changes and inform the other party as per established ESP timelines. The Administrative Support IV - Staffing Liaison is responsible for communicating any staffing changes requiring adding or removing shifts from the console. This position will meet weekly with the Site Director, Managers, Nurse Practitioners, Site Admin Assistants and Staffing Services Center to review outstanding shifts, hot spots, assignments, new hires, vacancy and leave reports. They are responsible for timekeeping tasks for the Strathcona Community Hospital Emergency Department and Northeast Community Health Center/ Ambulatory Clinics / IV Therapy including the review of timecards, flowsheet and entry of bank payouts in timecards. The incumbent will also assist the Site Director/Managers with the coordination of vacation requests and mutual agreements as well as assisting with communication to staff. Strong communication and interpersonal skills required. Courteous and pleasant telephone manners and proven organizational skills with the ability to prioritize work with minimal supervision required. Proven reliability required and the ability to work as a team in a fast-paced environment while adapting to frequent interruptions and shifting priorities. Admin IV responsibilities will also include helping with other office duties such as manager scheduling, covering for admin responsibilities, preparing educational packages, and additional routine administrative duties.
As an Administrative Support IV, you will require advanced administrative or specialized skills and knowledge to support complex procedures, practices and initiatives within a department or program.
Some post-secondary education.
A minimum of five years’ experience in staff scheduling or Liaison role. Demonstrated competency in ESP access, e-People, Microsoft, Excel and Word. Must demonstrate attention to detail. Demonstrated knowledge of health care collective agreements.
Additional education in office administration an asset. Experience working in a unionized, health care and/or 24/7 environment. Experience with AHS scheduling software (Kronos, ESP, ASC).
