The Administrative Support V is an advanced position that supports the management team within Pharmacy Services. Working with minimal guidance and direction, the Administrative Support V supports effective and efficient operations of the administrative office. The position is responsible for calendar management, preparing materials, meeting preparations and support, financial activities such as invoicing, expense claims and payroll duties, and file management. Additionally, the Administrative Support V uses discretion to address escalated issues or problems where there may not be established processes or guidelines. The incumbent must exercise judgment, discretion and independent decision making across a spectrum of activities that may include budgeting and accounting, internal and external relationships, and administrative duties. Key Responsibilities: Acts as a coordinator for their manager(s) and is directly responsible for their calendar, the prioritization and screening of e-mail and telephone calls, and responses to correspondence. Identify urgent issues and prepare responses to facilitate resolution in a timely manner. Responsible for handling confidential materials. Coordinates recruitment processes. Drafts committee minutes and agendas, distributes meeting documentation, confirms meeting attendance and reservation of meeting rooms. Supports data and/or information management for the team. Manage the team’s payroll including receiving of time sheets and entering of worked hours.

As an Administrative Support V, you will require advanced administrative or specialized skills and knowledge to support complex procedures, practices and initiatives within a department or program.

Completion of post-secondary education (e.g. certificate in office or business administration).

Completion of an Administrative Professional diploma or equivalent with experience in a health care environment is required. Advanced / intermediate knowledge of computer technology and applications including but not limited to MS Word, MS Access, MS Excel, MS Outlook, MS Visio, MS OneNote, MS PowerPoint, and MS SharePoint are essential. Demonstrated competency in Timekeeping/Approval is required. A working knowledge of MS Teams is required. A minimum accurate typing speed of 40 wpm is required.
