We are seeking a highly organized and detail-oriented Administrative Support V to provide essential support to the Director, Health Information Management (HIM). This role requires a self-directed professional who can efficiently manage the Director’s office operations while serving as a single point of contact (SPOC) for HIM-related matters. With minimal direction, the Administrative Assistant will coordinate multiple administrative functions, including budget and resource tracking, project management, payroll entry, meeting support, onboarding of new staff, office supply management, and IT service requests. This role is pivotal in ensuring seamless daily operations while supporting the broader goals of the HIM department and the organization. Key Responsibilities: Act as the primary liaison between the Director, staff, departments, and stakeholders to ensure effective communication and issue resolution. Oversee calendar management, scheduling, and administrative meeting support for the Director. Maintain budget and resource tracking, ensuring alignment with organizational priorities. Support operational needs, including payroll entry, IT service requests, office supply management, and onboarding coordination for new staff. Ensure accuracy and quality assurance of all documentation, including reports, correspondence, and meeting materials. Adapt to changing priorities in a fast-paced and complex environment, applying critical thinking and problem-solving skills. Handle confidential and sensitive information with the highest level of integrity, tact, and discretion. Assist in driving innovation, process improvement, and diversity initiatives within the HIM department. As an Administrative Support V, you will require advanced administrative or specialized skills and knowledge to support complex procedures, practices and initiatives within a department or program.

Completion of post-secondary education (e.g. certificate in office or business administration).

Completion of approved secretarial/administrative professional post-secondary program. Training in and advanced skills with Microsoft Office Suite, including Word, Excel, Outlook (email and calendar), MS Teams, PowerPoint, and One Note. Training and advanced skills with Visio and SharePoint, and Adobe Acrobat. Experience: A minimum of three years’ recent experience in progressively responsible administrative positions within a health care-based organization. Minimum typing speed of 50 words per minute which will be demonstrated through a skills test at the time of recruitment. Skills: Excellent communication, time management and critical thinking skills. Demonstrated accuracy with computer/administrative duties. Superior time management and organizational skills. Ability to problem-solve independently, anticipate needs, and take initiative. Ability to work under pressure and handle competing and frequently changing priorities. Ability to exercise judgment, professionalism, diplomacy, and discretion when dealing with sensitive issues. Excellent interpersonal, communication and relationship building skills. Advanced knowledge of effective electronic file structure and management. Proven success effectively working independently and within a team environment. An equivalent combination of education & experience may be considered.

PROSCI Change Management Certification preferred.
