The person filling the role of Executive Administrative Support, HR Shared Services, supports the Executive Director(s) and HRSS programs and plays a pivotal role in achieving successful advancement of program and organizational priorities. This position provides high standard, confidential, professional, and advanced administrative support to the program and is responsible for coordination and logistical management of team activities.

Working under minimal supervision and direction while working collaboratively in an integrated and hybrid office environment, the Executive Administrative Support will act as a resource to the Executive Director(s) and other staff and stakeholders and respond to and resolve escalated operational issues. This position is responsible for ensuring advanced administrative support, including coordinating stakeholder and working group engagement; developing and coordinating linkages with other program areas and leaders; developing required business and communication documents; creating and maintaining tracking tools and presentations; calendar management; organizing, preparing for, and supporting meetings; analyzing and following up on key issues and needs, often with time sensitive deadlines.

Diploma or Degree in business, health care, project management or other related discipline. A combination of education and experience appropriate to the position. This position requires a team player who can carry out a wide range of administrative and coordination support; excellent verbal and written communication skills; time management; organizational skills; organizational knowledge and awareness. Strong knowledge and skills in MS Office suite including MS Teams, MS Project, SharePoint, and Visio is required.

As workforce initiatives can be highly sensitive and confidential, this requires a highly professional style to deal with a variety of complex situations in a positive, culturally sensitive, and confidential manner. A minimum of five year’s experience in a progressively responsible senior administrative position within a healthcare organization. Experience with stakeholder relationship building and stakeholder engagement activities. Demonstrated strength in verbal and written communication skills; ability to relay or explain complex issues or demanding situations. Intermediate training or knowledge of applications including but not limited to Oracle, RMS, and e-People. Ability to maintain confidentiality and manage confidential and sensitive information regularly.

Knowledge of Alberta Health Services systems and processes. Experience working in a healthcare organization of significant size, complexity, and diversity. Strong critical thinking and problem-solving skills.
