The incumbent of the position will be responsible for supporting the National Human Resources team ("People and Culture"), particularly about the management of employee files and work incident claims.
Main responsibilities
- Manage the files administration for work incidents and occupational illnesses for all employees in Canada
- Proactively ensure administrative and medical follow-up of incidents at work
- Administratively follow the return to work, temporary assignment and accommodation processes.
- Responsible for effectively managing the centralized incident management e-mail inbox at work.
- Manage claims files in partnership with the service provider and government authorities in all Canadian provinces (WSIB/WCB/CNESST)
- Ensure real-time updates of the case tracking database.
- Work in close collaboration with People and Culture Business Partners and Managers throughout file management and keep them informed of the follow-ups and steps taken.
- Create reports and dashboards to monitor the evolution of health and safety performance indicators
- Coordinate the management of disability cases by sending short or long term disability documents to the employee, the manager and our external supplier (Sunlife).
- Coordinate administrative tasks to support key People and Culture Business Partners, located across Canada, ensuring the accuracy and consistency of data and meeting deadlines:
- Ensure the daily management of incoming emails in the HR administration boxes of the different operational regions and carry out the necessary follow-ups with managers and main People and Culture Business Partners.
- Ensure the quality of data entry when processing new hires in WORKDAY.
- Prepare employment letters and other types of documents such as employment confirmations or promotions.
- Create and maintain electronic employee files.
- Ensure maintenance and regular monitoring by updating or creating reports for various programs, HR projects related to the administration of files to main partners, P&C and Directors, P&C.
- Know human resources policies and procedures and ensure compliance with them in the performance of their duties
- Provide support for various special projects, as needed.
Qualifications
- College diploma in administration or human resources and/or a university diploma in human resources
- Have a minimum of 3 to 5 years of experience in an administrative support position within an HR department, or in a similar role with general HR knowledge
- Have a minimum of 1 year of experience in managing work incident claims
- Knowledge of Canadian legislation regarding occupational health and safety
- Good understanding and demonstrated working knowledge of relevant provincial labor standards
- Ability to manage and maintain confidentiality of sensitive confidential issues while displaying sound objective judgment, including all legislative requirements
- Excellent organizational and time management skills, ability to multitask, and strong sense of priorities
- Great attention to detail to always ensure data accuracy
- Excellent written and oral communication skills in French and English
- Demonstrate initiative and autonomy to ensure a high level of service in a work environment where speed and accuracy of information are required
- Intermediate knowledge of MS Office software, including Outlook, Word, Excel and PowerPoint
- Will be considered an asset:

- Experience working in a retail or manufacturing sector
