Under the supervision of Senior Manager, the Senior Lease Analyst is responsible for the comprehensive review and analysis of all corporate real estate lease documents and for maintaining such records within the property/leasing database. This position will be an integral player on the property administration operations team as the central resource for mastering all phases of analysis and processing of all lease charges by our outsourced team. This includes data verification, analysis, and assisting in preparation of all billings, such as monthly recurring charges, real estate taxes, and common area maintenance. Knowledge and experience of managing commercial real estate leases is a must, as is the ability to read and interpret real estate legal language and the understanding of complex real estate accounting calculations and CPI escalations. Candidate will be responsible in coaching, mentoring and leading the outsourced team, and should be a team player. Candidate must be able to manage multiple priorities and communicate effectively with clients such as Landlords and Tenants, business partners and colleagues. Will work alongside fellow Senior Lease Analyst managing own portfolio of accounts. Exercising judgment to identify, diagnose, and solve issues that may arise.

Lease Administration:

  • Reviewing and interpreting complex lease agreements.
  • Understanding the key aspects of rental components including base rent, Operating Expenses (CAM), Real Estate Taxes and other charges that may be billed by a landlord in comparison to what is in the lease.

Financial Analysis:

  • Manage database with up-to-date rental information (real estate taxes, insurance, common area maintenance, management, administrative fees, etc.).
  • Facilitate the payment of monthly rent, off-cycle additional rent payments, and security deposits.
  • Liaise and work with external lease auditors on year-end reconciliations and statement of accounts as needed. Analyze current and prior annual tenant additional rent obligations in accordance with specific lease requirements as needed.
  • Address escalations by liaising and handling landlord and subtenant inquiries, disputes and general questions.

Team Leadership & Mentoring:

  • Providing guidance and support to junior lease analysts.
  • Mentoring and coaching team members on lease analyst processes.
  • Overseeing and managing the work of the lease analyst team related to assigned portfolio of accounts.

Communication & Collaboration:

  • Communicating with internal teams (e.g., property management, finance) and external parties (e.g., landlords, tenants, tax and tax assessment authorities, lease audit firms and tax consultant firms).
  • Collaborating with other internal departments (e.g. Accounts Payable, Supplier Records Management, BMO Finance, Transactions Management, etc) to ensure smooth lease operations.

Qualifications:

  • Bachelor’s degree, preferably in Business, Accounting or Finance, or a related field.
  • 3 to 5 years of commercial/corporate real estate administration and lease accounting experience preferred.
  • Prior experience with commercial real estate leases, and property management, preferred.
  • Proficient in lease analysis or ability to develop those skills quickly and able to read and interpret legal language.
  • Strong mathematical and analytical skills.
  • Proficiency in Excel and Microsoft Office and other relevant web-based applications.
  • Excellent attention-to-detail skills and excellent problem-solving skills with the ability to monitor own work and work of others for completeness and accuracy; ability to organize information and materials for others.

Salary:

$60,000.00 - $111,700.00

Salaries will vary based on factors such as location, skills, experience, education, and qualifications for the role, and may include a commission structure. Salaries for part-time roles will be pro-rated based on number of hours regularly worked. For commission roles, the salary listed above represents BMO Financial Group’s expected target for the first year in this position.
