Your mission should you accept it:

The Administrative Assistant for Human Resources and Legal Affairs supports the HR and legal team in all administrative tasks, he/she actively participates in the administrative management of the office and contributes to the fluidity of internal processes.

Location : Saint-Nicolas, Levis (Hybrid)

  • College education in the administrative field; 
  • At least 3 years of professional experience in a similar role; 
  • Proficiency in office tools (Office Suite); 
  • Excellent command of French and English, both oral and written. 
  • Rigor, organization and ability to manage multiple priorities. 
  • Writing and interpersonal skills. 
  • Discretion and respect for confidentiality. 
  • Qualities sought: Autonomy and proactivity. Attention to detail and ability to work under pressure. Ability to work in a team and collaborate with different stakeholders.

What you will do to complete this mission successfully:

  • Support the team in classifying documentation;
  • Keep track of deadlines and administrative procedures up to date;
  • Organize and plan internal meetings, training sessions and events;
  • Ensure administrative follow-up of files (contracts, amendments, absences, etc.);
  • Classify documentation related to the hiring and departure of employees (declarations, administrative documents);
  • Organize and keep up to date documentation relating to leave, training, and employee evaluations;
  • Prepare the elements necessary for processing payroll (overtime, leave, bonuses);
  • Record the data necessary for issuing KPI reports;
  •  Ensure the archiving, digitization and classification of administrative and legal documents;
  • Ensure telephone reception and control of email boxes intended for HR or legal;
  • Write and format various documents: letters, reports, presentations, meeting minutes;
  • Monitor office supplies and manage orders necessary for the activity;
  • Support teams: Ensure the link between the different teams and departments of the company to ensure good communication;
  • Lay out documents (contracts, leave, absences, etc.);
  • Monitor invoices and expense reports;
  • Assist in the management of payments and administrative operations related to accounting;
  • Write emails and correspondence for the team and ensure clear and professional communication;
  • Ensure administrative monitoring for the smooth running of internal processes.
