We are looking for a executive assistant, North America to provide unparalleled administrative support under the supervision of the Vice-President and General Manager, Powersports, North America.
YOU’LL HAVE THE OPPORTUNITY TO:
Manage the calendar proactively, taking charge of daily and ongoing planning to ensure the effective use of the VP’s time, including protecting time for key meeting and document preparation. Forward thinking.
Set up meetings and organize events, including ownership of logistics (for example, owning the agenda, collecting/distributing meeting materials ahead of meetings). Support operational, strategic and planning sessions for the management team.
Organize and book business travel (domestic and international) for the VP, including coordinating itineraries and expense tracking.
Support, develop and lead a team of administrative assistants supporting leaders in the powersports group.
Assist in the creation, designing, editing and proofreading of, often of a confidential nature, presentations for meetings with the executive committee and Board of Directors.
Ensure that all compliance reporting is completed in a timely manner.
Lead budget planning and quarterly forecasting activities.
Follow-up on correspondence (direct incoming calls, visitors, mail and e-mail) and requests for information.
Develop file, report, document or information storage and retrieval services, including classification, organization and electronic data/information entry or sourcing.
Make recommendations on the development and implementation of new processes.
Work independently, make timely and confident decisions.
Provide administrative support for other mandates.
YOU’LL THRIVE IN THIS ROLE IF YOU HAVE THE FOLLOWING SKILLS AND QUALITIES:
A DEC (college diploma) in secretarial studies or other relevant training.
3-5 years of relevant experience.
Solid understanding of MS Office, including Word and PowerPoint.
Essential qualities of organization and autonomy, rigour and attention to detail, good team spirit, resourcefulness, a good sense of initiative, the ability to work under pressure.
Bilingualism would be an asset.
Respect for confidentiality and great professionalism.
