About this opportunity:

Reporting to the Vice President, Business Development, the Senior Administrative Assistant will challenge the status quo, thrive in an open, fast-paced, and collaborative work environment. This position is responsible for providing superior administrative support in a professional, time sensitive, and confidential manner. The successful candidate will perform administrative tasks such as, assisting with travel booking, preparing correspondence, mailing materials, receiving visitors, arranging conference calls, scheduling meetings, planning team and corporate events, and other duties as required.

We're looking for someone who cares about the team they work with and the work they do, brings energy, passion and is comfortable being one of the primary contacts for our Cenovus Business Development team.

What you’ll do:

  • Handle applicable day-to-day administrative tasks such as calendar management, reviewing and assessing incoming correspondence (e-mail, mail, etc.)

  • Prioritize duties and responsibilities to provide effective and efficient support across the team

  • Anticipate the needs of your leader and team

  • Logistics coordination for the Business Development team (floor planning, onboarding/offboarding)

  • Accurate and timely preparation (drafting, editing) of email, power point presentations and other written communication in accordance with the Cenovus writing guide

  • Planning and facilitating customer events, including drafting new event proposals, budget planning etc.

  • Planning and facilitation of weekly team meetings, quarterly meetings and team building events

  • Collect background material for meetings, and take meeting minutes when required

  • Process expense reports and invoices for payment

  • Implement continuous improvement initiatives to ensure we are enhancing our business processes

  • Communicate updates to the team

  • Organize and book travel and accommodation, including on-site & off-site meetings and events

  • Establish and maintain positive and productive working relationships with internal and external parties, and managing these relationships in a professional manner that facilitates a positive corporate image in alignment with Cenovus’s corporate Values

  • Engagement in external industry and committee obligations as required

  • Other duties as required including budget administration and special projects

Who you are:

  • Must be legally eligible to work in Canada

  • Minimum of 5+ years administrative experience

  • Manage and handle confidential data while exercising discretion and good judgment

  • Demonstrate diplomacy, discretion, and professionalism, with skills to be resourceful and anticipate needs

  • Meticulous self-starter who enjoys working in a team environment, needs minimum supervision, and can cope effectively under pressure with shifting priorities

  • Proven track record to establish effective relationships with industry partners and across all levels of the business

  • Proven ability to handle multiple tasks, prioritize to meet deadlines, strong work ethic and flexibility to work overtime as required

  • Familiar with the commercial function in the oil & gas business

  • Well-developed team skills and a collaborative working style
