We are looking for a Lead to support a Program Management Office for a large business process outsourcing program that is evolving in structure, function, technology and tools to support efficiencies, cost optimizations and customer experience enhancements. The scale of the program includes multiple customer-facing services (implementation, operational support, policy, and regulatory compliance readiness) supported by operational teams and a portfolio of projects supported by professional services teams (project management, change management, service design, business analysis, privacy and security support, technology support).

Your future duties and responsibilities:

As a PMO Lead, you will be responsible for performance of PMO operations and staff.Your future duties and responsibilities:

• Contribute to efficient and effective program operations.
• Analyze internal operations; identify/resolve process issues; identify process improvements.
• Coordinate across program leadership to Implement process changes.
• Maintain and publish internal process/procedure documentation.
• Supervise team of 1-3 in performance of PMO responsibilities
• Delegate and supervise assigned tasks.
• Provide training, coaching, and mentorship to subordinate staff.
• Monitor performance.
• Maintain program SharePoint site and data.
• Collect and organize program data.
• Implement changes and new features in SharePoint to continuously improve project data capture.
• Provide oversight to program data capture.
• Conduct data review and analysis to preserve data integrity.
• Implement changes to SharePoint to support evolving processes and metrics collection.
• Manage project financials and procurement functions.
• Vendor/invoice management, review, and reconciliation
• Compile program forecast data.
• Coordinate with internal Finance, Purchasing and Sub-Contracts groups.
• Conduct quality assurance on timesheet submissions.
• Manage candidate clearance process.
• Track candidate status and progress through clearance process
• Coordinate with internal Recruiting, internal Security, and government Security groups to adapt to process changes, resolve questions, and ensure candidate progress through the process.
• Manage candidate submission/acceptance process.
• Coordinate candidate submission, selection, and start details w/ recruiter and client.
• Manage and respond to client emails and questions.
• Regular customer interface
• Responsible for daily communications to maintain program operations.
• Create and disseminate weekly operations reports and deliverables.
• Coordinate operational and project status reporting.
• Compile operation service levels, operational activity reporting, project status reporting, and continuous improvement reporting.
• Establish standardized reporting tools and templates.
• Streamline reporting processes.
• Assess maturity level of operations management and project management.
• Conduct assessments of operations management and project management processes
• Identify and prioritize action plan for advancing maturity level of operations management and project management processes.
• Develop roles and responsibilities matrices for key operations management and project management processes.
• Communicate and interact effectively with project team, program management, internal support groups, and external entities such as vendors and subcontractors.

Required qualifications to be successful in this role:

• Data management/analysis experience
• Deeply analytic with strong problem-solving skills; obsessed with details.
• Skilled communicator. Able to read between the lines. Articulate and communicate effectively in-person, via email, and in virtual meetings.
• Experience with Microsoft Office Suite, SharePoint, and Adobe products
• Aptitude to learn new tools.
• Self-motivated
• Demonstrated ability to cooperate, collaborate, and contribute as part of a high functioning team.
• Relevant Degree or Diploma with demonstrated ability to apply skills or 5-8 years’ experience working in a large program office.

Preferred Skills:
• PMP Certification
• Knowledge of ITIL best practices
