SUMMARY OF THE POSITION
Person who performs work related to personnel management, financial management, work organization and planning for the execution of complex administrative tasks by compiling and analyzing data.
This job title also includes the person who is responsible for the administrative operation of a department and who oversees the department's internal and external relations. She/he is responsible for the activities of the department's office personnel.
SEPCIFIC FUNCTIONS
Under the supervision of the birth home Coordinator - Waskaganish Pole, the incumbent will be responsible for the following:
- Create requisitions for goods & services, purchase orders, and receives quotations, invoices, payments, etc.;
- Process and follow up on service contracts and agreements (approvals, billings with service providers and payments with finance department, etc.);
- Write and/or distributes email, correspondence, letters, faxes, forms, policies and procedures;
- Create and maintain a filing system;
- Organize team meetings, writes and distributes minutes from meetings;
- Answer & directs phone calls;
- Provide support to the midwifery team (Coordinator, Head Midwife, Midwives, other professionals and support staff of the birth home) in daily administrative tasks related to time sheets, travel authorizations, travel arrangements, travel expenses, and their workspace organization;
- Carry out other tasks upon the request of the supervisor.
REQUIREMENTS
Education: * Must have a diploma of college studies with specialization in Administrative Techniques or in an appropriate discipline from a school recognized by the ministère de l'Éducation du Loisir et du Sport;* This job also includes persons who, after having acquired relevant experience, obtained a certificate of college studies in Administrative Techniques.
Experience:
- Two years of relevant experience.
Knowledge and Abilities:
- Good knowledge of administrative theory, systems, techniques and practice;
- Knowledge of the MSSS Network and administrative regulations is an asset;
- Be able to handle multiple file at the same time;
- Good working knowledge of computer applications, especially Microsoft Office;
- Be able to work under pressure;
- Excellent communication skills, both written and oral;
- Be able to work outside regular hours when requested;
- Practical, analytical, and attentive to detail;
- Sense of accountability, resourcefulness & vigilance;
- Teamwork skills;
- Well organized.
LANGUAGE* Fluent in English;* Fluency in Cree and French is an asset.
