Job Purpose

The Communications Specialist is responsible for strategic support and tactical execution of both internal and external communications campaigns and promoting initiatives from DDSB departments, schools, and partners. The Communications Specialist is a skilled writer for a variety of platforms including web, social media, e-mail, speeches, etc., with a focus on delivering concise information and creating engaging content for diverse audiences. Builds confidence in public education and enhances the DDSB’s reputation by expertly developing and executing media relations, issues management and social media strategies, along with supporting public consultations and events.

Accountabilities

LEAD AND/OR SUPPORT PROMOTIONAL AND INFORMATION CAMPAIGNS: Provide strategic communications advice, lending expertise to guide departments and schools on how best to promote innovative initiatives and timely information to key internal and external audiences. Working as part of a dynamic, interdisciplinary team to plan, develop, and manage communications tactics including website and social media copy, scripts, news releases, FAQs, and more. With a keen eye for detail, ensures information conveyed is accurate, timely and regularly reviewed.

LEAD, POST AND MONITOR SOCIAL MEDIA: Develop DDSB’s social media strategy while ensuring alignment with the strategic communications plan. Ensure quality of content and a high level of social media activity on all platforms through awareness, involvement and attendance at high profile events, occasions and celebrations. Strategically post messages and monitor activity on all DDSB social media platforms. Develop key metrics to track effectiveness of the DDSB’s social media strategy. Develop and deliver relevant professional learning to DDSB staff on social media use best practices, school website development, maintenance and use, and other media related sessions as needed.

LEAD AND/OR SUPPORT ISSUES MANAGEMENT AND MEDIA RELATIONS: Lead and/or support media relations, including preparing a media relations strategy as part of the communications strategic plan, along with metrics for tracking progress and success. Identify, plan, manage and execute media opportunities and coverage, draft news releases, visit schools and department events to provide digital news coverage. Respond to time-sensitive media inquiries by negotiating media interviews, preparing key messages, recommending strategy and providing media relations support while ensuring DDSB’s brand and reputation are protected. Provide support and communications products to help school administrators manage issues and concerns that require communication to the school community.

SUPPORT INTERNAL COMMUNICATIONS, RESEARCH AND WRITE STORIES: Conduct daily media scans, proactively identifying and acting on risks and opportunities, drafting editorial content, articles and speaking points on issues to support all levels of the organization.

PROVIDE BACK UP SUPPORT: Act as back-up to the Communications Manager on emergency communications and execute strategies for emergency response, school closures as required. Provide communications support to other areas/functions in the department and/or DDSB as required.

Knowledge and Skills

Knowledge of the public education sector and provincial decision-making cycles and processes

Ability to operate in a politically focused environment such as a school board or municipal/provincial/federal government with a demonstrated track record of success with proactive issues management

Highly developed interpersonal skills with the ability to build collaborative working relations and provide exemplary service to internal and external stakeholders, levels of government and the media

Experience with the development and execution of effective and targeted communications, media relations and issue management plans and the production of online and print publications

Previous responsibility protecting an organization’s brand and reputation

Demonstrated experience in navigating social media tools (e.g., Twitter, Facebook, Instagram, LinkedIn) and undertaking effective research over the internet and social media

Preparation of strategic key messages for media interviews and speaking engagements

Strong writing, editing, and proofreading skills

Demonstrated attention to detail and accuracy, ability to prioritize work, meet short deadlines, adhere to timelines and maintain confidentiality

Analytical, problem solving and strategic thinking skills

Education and Experience

Education

Completion of a Bachelor’s Degree in a related field (e.g., Communications, Media Relations, Public Relations, Marketing and/or Journalism) or a combination of education, training and experience deemed to be equivalent.

Experience

Minimum of 5 years experience required in Public Relations, Communications or Media with demonstrated familiarity working with media outlets.

Minimum of 5 years experience required conducting media campaigns and securing positive media coverage.

Minimum of 5 years experience preferred in media relations and working with reporters/journalists.
