Job Description

Department: Resident Services

Position: Unit Clerk

Weekdays 8:30am-4:30pm (75 hours a bi-weekly)

Weekends and evening work may be required.

Status: Permanent Full Time

Date Required: ASAP

Reporting to the Interim Manager, Nursing Unit Unit, the Unit Clerk is responsible for supporting the nursing units in performing clerical duties.

RESPONSIBILITIES INCLUDE (but are not limited to):

  • Prioritizes workload between the resident home areas.
  • Functions as receptionist for the home by handling enquiries where appropriate and redirecting calls to the appropriate person/department.
  • Liaises with hospitals, clinics and other healthcare agencies regarding transfers, referrals etc.
  • Arranges internal and external appointments including transportation for residents.
  • Schedules and coordinates Resident Care Conferences.
  • Prepares and maintains Health Records including filing, purging and discharge procedures.
  • Orders and inventories supplies, as required. Distributes communiqués to the appropriate unit staff.
  • Provides clerical assistance to the Nursing Managers including preparing reports, minutes, letters, and other administrative duties. Prepares documents and records for Medical Rounds.
  • Maintains the School Messenger list current by adding and deleting resident names.
  • Collects, organizes and files all documents of discharged residents.
  • Organizes and maintains the archived records room of discharged residents.
  • Maintains and updates resident pictures in their electronic files on a yearly basis.
  • Supports the admission office with the census and preparation of new charts.
  • Liaises with families and residents and provides them with support and assistance when required.
  • Other related duties as assigned.

EXPERIENCE & EDUCATION

  • A minimum of Grade 12 education or equivalent, post-secondary education preferred.
  • Proficient level of conversational Italian language skills preferred.
  • Must be at a proficient level of computer literacy with Microsoft Windows, Word, Excel, Outlook, and Resident Information related software.
  • Must possess excellent verbal and written communication skills.
  • Must have excellent interpersonal and relationship building skills.
  • Demonstrated ability to organize work and prioritize multiple demands in a fast-paced environment.
  • Demonstrated ability to work as part of a team.
  • Must have excellent problem solving and analytical skills.
