I am currently assisting one of my clients, a company specializing in construction. Located in Montreal, near a metro station, they are looking for a Project Administrative Assistant.

* Organize and archive project documentation.
* Coordinate various communications, such as emails, information requests, and meeting minutes.
* Prepare site summary documents.
* Format various documents, including schedules, permit applications, and tracking tables.
* Ensure plans and specifications are updated, shared, and reviewed with relevant stakeholders.
* Prepare and track contracts, ensuring they are sent to all parties until they are signed.
* Draft purchase orders and change orders, obtain approvals, and distribute them.
* Document and update the shop drawing workflow and follow up with subcontractors and professionals.
* Draft meeting minutes for construction site meetings and distribute them to the concerned parties.
* Carry out various site-related tasks, including logistical support for the mobilization and demobilization of supplies and services.

* Experience in a similar role.
* Ability to learn and apply fundamental principles and basic procedures in the construction field.
* Strong ability to build and maintain professional relationships with stakeholders, including supervisors and subcontractors.
* Proactive mindset with a solutions-oriented approach.
* Proficiency in Microsoft Office; knowledge of Procore is an asset.
* Ability to quickly adopt and use new technologies.
* Excellent oral, written, and interpersonal communication skills in both French and English.
* Bilingual in French and English, both written and spoken, as suppliers may be international.

PROCESS: Initial interview with Baptiste GAERTNER, Fed Supply Recruitment Consultant - followed by an interview with the company's Human Resources Manager and Position Manager.
