This position supports the Property Operations team by ensuring corrective and preventive maintenance on Homes First’s equipment and buildings, acting as a tenant liaison between the property department and housing, as well as maintaining a safe and healthy work environment and adhere to the mission statement and policies and procedures of Homes First Society.

Job Responsibilities:

  • Complete required administrative tasks/duties pertaining to HFS internal/external ongoing and new capital construction/property operations projects (collecting data, sorting, filing and sending out project files to the right personnel, workers, and stakeholders) as assigned/directed.
  • Assist with internal/external communications and flow of information, delivering them to appropriate bodies, and receive incoming communications as assigned and in tandem with admin personnel.
  • Assist with internal/external operational and capital construction projects and shelter operations setup efforts as assigned/directed by management.
  • Assist with reviewing and editing project drawings/concept drawings (structural, mechanical, engineering, building etc.) recording updated drawing sets and assist with keeping records of all project information for documentation, clarification, and/or presentation.
  • Assist with reviewing and processing invoices from consultants, subcontractors, and vendors to ensure they are accurate and according to the project's scope requirements and work order stipulations.
  • Assist with organization and monitoring of project schedules and scope, contributing to operational execution and deadlines of the Property Management Operations department in accordance with RTA and Ontario building codes, bylaws and laws, and relative legislation and standards.
  • Collaborate with the whole Property Management Operations team, assisting/contributing to project lifecycles and operational needs as assigned by the Supervisor(s) and Director of Property Management Operations.
  • Assist with the monitoring and reporting of project workflows and deadlines as directed by management.
  • Intermediate (as directed) between the Project Supervisor and other workers/consultants relaying information pertaining to capital internal/external projects to prevent agitations that may hinder the smooth flow of project execution.
  • Assist with budget monitoring and help ensure resources are used efficiently and expedited properly as assigned.
  • Assist with internal/external communications between vendors, contractors, and consultants as directed.
  • Demonstrate commitment to clients’ needs and confidentiality continuously.

Qualifications:

  • Demonstrated ability to work with people who have mental health and addiction issues
  • Knowledge of tenant population, diversity issues, anti-discrimination practices and systemic reasons for homelessness
  • 1-2 years of experience in project management, construction, engineering, administration, and/or other relevant experience.
  • Bachelor’s degree in relevant field and/or any relevant education and experience pertinent to the role.
  • Prior Project Management experience a strong plus (such as experience managing budgets, schedules, logistics and projects)
  • Some prior experience working with software tools, Microsoft Office Suite, Microsoft Projects, GAANT, Microsoft Teams, etc.
  • The ability to effectively set and manage multiple priorities strong time-management skills
  • Proficiency in English (written or verbal) and understanding of operational project language.
  • Diligent, efficient, self-motivated, extremely well organized and proactive
  • Certificates in CPR and First Aid an asset
  • Certificate of Completion of Homelessness Learning Hub’s Harm Reduction for the Homeless considered an asset
