Position Summary
Interior Health is hiring a permanent full time Administrative Assistant II to provide confidential administrative support functions to the Community Services Administration / Seniors Specialized Care Transformation team. The location of this position is flexible within the Interior Health region.
The Seniors Specialized Care Transformation portfolio is responsible for leading the strategy and executive of the seniors care strategy for Interior Health. Comprised of the Long-term Care, Palliative Care/End of Life, Home Health, and Home Support the administrative Assistant will be responsible for leading the administrative functions for the portfolio.

We are seeking a highly skilled and experienced Administrative Assistant II who possesses exceptional organizational, analytical, and multitasking abilities to manage a diverse range of complex administrative functions. The ideal candidate will have a proven track record of handling confidential and sensitive information with the utmost discretion and accuracy. Candidate must demonstrate advanced communication skills to professionally manage inquiries, resolve issues, and liaise effectively with a variety of internal and external partners, including executives, professional consultants, and planning teams.
The successful candidate should have a strong background in preparing and editing high-level reports, correspondence, and project documentation, as well as proficiency in managing detailed financial reports, monitoring budgets, and processing expenditures. This role demands advanced proficiency in using both manual and digital filing systems, alongside expertise in software tools for creating spreadsheets, flowcharts, presentations, and statistical analyses.
The selected candidate must be adept at managing complex scheduling and logistics for meetings, events, and travel, ensuring that all arrangements are seamless and that background materials and documentation are meticulously prepared. A demonstrated ability to evaluate and improve operational procedures, implement new work methods, and proactively identify and resolve problems is critical. Candidate must have a proven history of managing high-stakes administrative responsibilities in a fast-paced, professional environment and a strong commitment to occupational health and safety standards.

Salary Range:
Salary range for the position is $57,347 to $75,268. Interior Health establishes salaries within the minimum and maximum of the salary range based on consideration of the qualifications, experience of the applicant, and an internal equity review of the salaries of other employees.

The Administrative Assistant II works in a team environment to provide confidential complex administrative support functions. The Administrative Assistant II serves as a vital linkage and communication source to keep the department informed and aligned to its priorities.
Some responsibilities include: coordinating and organizing workflow; determining priorities; composing confidential correspondence for signature; designing and creating routine & non-routine correspondence, responding to a variety of sensitive internal and external inquiries, generating complex and detailed reports and presentations, orientation packages, and spreadsheets (including data entry) for authorization by the management team; maintaining the integrity and confidentiality of all information which flows through, and is processed for management as it pertains to client care, operations, personnel, labour relations, finance, and public affairs in setting a positive, collaborative, efficient tone for the department.

Qualfications
Education, Training, and Experience:
• Graduation from a recognized secretarial program.
• Five years of recent, related experience including experience working with various computer software programs.
• Or an equivalent combination of education, training, and experience.
Skills and Abilities:
• Ability to communicate effectively, both verbally and in writing.
• Ability to deal with others effectively.
• Ability to organize workload and set priorities.
• Ability to work without supervision.
• Ability to type 50 wpm and set up letters, reports, etc. in a professional format.
• Knowledge of applicable computer hardware and software programs and ability to perform web-based searches.
• Ability to operate related equipment.
• Physical ability to perform the duties of the position.
