As part of the National HR team, the Employee Experience Centre of Excellence (COE) focuses on key moments that matter through the talent development lifecycle including performance development, employee listening and engagement, leadership milestone programs and employer brand. The Employee Experience team works in collaboration with the functional and geographical HR teams along with the other Business Enablement Services (BES) teams to deliver innovative programs and initiatives aimed at enhancing the employee experience.
This position reports to our Senior Manager, Milestone Programs and will primarily be responsible for day- to day operations and planning our suite of Leadership Milestone Programs that are a blend of virtual and in person learning and range from yearlong programs to multi- day events.
What you will do
- Support the full execution of leadership program events from early planning to execution and post event debriefs, acting as the primary internal and external point of contact from an event management perspective.
- Initial event project planning support to determine overall objectives and optimal return on investment while recommending event options.
- Event preparation and delivery – from sourcing venues, procuring multiple quotes as necessary to ensure best value for spend, request for contracts, conducting briefings with all vendors and staff prior to event, vendor relations, liaising with all internal teams as required (Communications, HR, IT, Creative etc.)
- Support marketing and branding material production required for off-site events.
- Serve as the liaison and first point of contact in handling the event operational details including management/supervision of all suppliers, rentals, load-in, set-up/tear-down.
- External vendor management (ie. Speakers, workshop facilitators, onsite event teams – hotel, F&B) – manage all logistical support, communications, inquiries, scheduling.
- Lead event on-site teams, registration staff/volunteers, logistics (transportation, rentals, F&B, accommodations), and overall technical production of the event including technical floorplans, AV and run of shows.
- Recommend and implement the latest event planning / execution technologies and digital tools.
- Relationship management with local/national vendors.
Participant management & logistics – primary point of contact for all communications, registrations, inquiries, feedback surveys, and tracking of learning credits.
- Budget tracking related to participant registrations/ departures, internal chargeback summaries, vendor invoices.
- Excellent attention to detail, anticipating deadlines and next steps with a project minded and client minded approach.
- Ability to act as an advisor to your internal clients with creative/innovative ideas and recommendations.
Provide back-up support to our Specialist, Milestone Programs as needed.
Limited travel to provide onsite event support.
What you bring to the role
- 2+ years’ experience coordinating corporate event planning for large scale employee programs, ideally in a HR / Learning capacity at a national level.
- Event certificate (i.e., CMP Certified Meeting Professional and/or DES Digital Event Strategist designation) or equivalent professional experience.
- Tech savvy; with demonstrated experience working event conference tech platforms (i.e. Cvent).
- Superb communicator with the ability to connect and build relationships with internal stakeholders and with external vendors.
- Experienced negotiation skills to procure best cost contracts.
- Exceptional organization and attention to detail
- Strong proficiency in MS office, in particular Excel and PowerPoint.
