Job Summary:
You are a Project Coordinator who will maintain project systems and procedures including master filing system, project billings, cost accounting, project delivery status and reporting. Utilizing your administrative and customer service skills, you will provide technical and administrative support, including assisting project managers with scheduling, reporting and compliance. Essential Responsibilities:
- Ensuring schedule deadlines are adhered to and project deliverables are maintained.
- Collaborating with team members from other divisions to overcome project challenges and issues.
- Generate design progress reports, monitor and track KPIs.
- Workload planning, forecasting and tracking.
- Performs general administrative and recordkeeping functions including the review and distribution of documentation; preparation of correspondence and meeting minutes; maintenance of files, logs, drawings, specifications and submittals
- Align and track to the design and construction schedule in conjunction with project team
- Issues materials and services purchase orders, invoice verification and tracking.
- Assist with project financial reporting and status updates.
- Prepares detailed analysis or review of aspects of the project as may be required
- Assist with gathering project requirements from various internal teams
Qualifications:
- 2 to 4 years’ experience in a fast paced administrative or coordinator role
- Experience with Outside Plant construction or other telecommunications construction projects is an asset
- Working knowledge of health, safety and environmental protection practices and procedures as they apply to common construction processes
- Strong understanding of current construction practices; working knowledge of construction documents, drawings, specifications and project management
- Experience with JIRA is an asset
- Ability to communicate clearly and collaborate with multiple stakeholders, understand and interpret stakeholder needs and identify solutions
- Capable of anticipating constructability issues in moderately complex situations and creating solutions in the construction plan and schedule
- Skilled at promoting teamwork with project team and stakeholders
- Ability to use Word, Excel, and Outlook; familiar with scheduling software
Work Conditions:
- This is a hybrid position where you will be required to work from home and the office
