Description
Job Summary: We are looking for a highly organized and proactive Clerical Support team member to assist with data management for Regulatory Affairs and support the Sales team in client follow-ups related to complaints and sample shipments. This role involves entering data in different portals and database systems, ensuring that all data is accurate, managing client inquiries regarding complaints, and assisting with the tracking and shipping of samples. The ideal candidate will have strong communication skills, attention to detail, and the ability to manage multiple tasks in a fast-paced environment.
Key Responsibilities:
- Maintain and update databases and systems for regulatory records, Item Master, GS1, and client portals.
- Support the Regulatory Affairs the Sales teams by organizing data and ensuring accurate reporting of all relevant information.
- Coordinate with the Sales team to track sample shipments, ensuring that all samples are sent out according to customer requests and regulatory requirements.
- Process, track, and verify sample shipments, including documentation, customs forms, and delivery confirmations.
- Communicate with clients to provide updates on the status of sample shipments, and other inquiries.
- Prepare and send out correspondence related to sample shipment inquiries.
- Follow up on back charges to ensure they are resolved in a timely manner.
- Assist in creating and maintaining reports for internal use and regulatory submissions related to sales activities and sample shipments.
- Ensure compliance with data protection regulations when handling client and regulatory information.
- Perform additional administrative tasks as required to support the Sales and Regulatory Affairs teams.
Qualifications:
- High school diploma or equivalent; additional certification in office administration, data management, or regulatory affairs is a plus.
- Previous experience in clerical, administrative, or customer service roles, preferably within a regulatory, sales, or logistics setting.
- Strong organizational skills with the ability to manage multiple tasks simultaneously.
- Excellent communication skills, both written and verbal, with the ability to maintain professionalism in client interactions.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and database management.
- Ability to prioritize tasks and meet deadlines in a fast-paced environment.
- Detail-oriented with the ability to maintain accurate records and ensure compliance with regulations.
- Strong problem-solving skills and ability to work independently or as part of a team.
Preferred Skills:
- Experience in data management.
- Familiarity with sample shipment processes and documentation requirements.
- Knowledge of complaint tracking systems and customer service practices.
- Ability to adapt to changing priorities and industry requirements.
Working Conditions:
- Full-time office-based position.
- Occasional overtime may be required to meet client and regulatory deadlines.
