We seek a dynamic and motivated Executive Assistant to provide professional support to our Vice Presidents at the Brampton office. In this role, you will play a key part in assisting with the execution of programs, presentations, and initiatives that contribute to the company’s growth, while managing and coordinating a diverse range of tasks for the team. With exceptional communication, negotiation, and influencing skills, you will represent the team with professionalism and efficiency, both internally and externally, while working with a variety of stakeholders.

Executive Administrative Support
  • Provide comprehensive administrative assistance to Vice Presidents, managing daily schedules, appointments, and travel arrangements (local, national, and international as needed).
  • Oversee the preparation, tracking, and completion of various requests and paperwork, including expense reports, while handling correspondence and emails.
  • Compile, design, and review materials for PowerPoint presentations.
  • Organize, plan, and coordinate meetings, seminars, and conferences, ensuring all necessary materials and catering are arranged.
  • Act as a liaison between internal and external stakeholders at all levels, following up and ensuring smooth communication.
  • Use sound judgment to screen, prioritize, and respond to incoming calls, emails, and inquiries.
  • Engage with senior executives and their assistants across the organization with professionalism and confidentiality.
  • Coordinate and manage client events, workshops, team meetings, and training sessions.
  • Facilitate new hire setups, internal transfers, and terminations.
  • Continuously seek ways to improve the department's administrative processes and adopt a mindset focused on efficiency and growth.
  • Prepare and reconcile expense reports, credit card statements, and reimbursements.

Does This Sound Like You?
  • Minimum of 5 years of experience in administrative roles supporting executives.
  • Previous experience in a large corporate environment is preferred.
  • Proficient in Microsoft Office Suite, particularly Outlook, Excel, Word, and PowerPoint.
  • Strong interpersonal, organizational, and communication skills (both written and verbal), with the ability to manage multiple tasks in a fast-paced environment and adapt to change.
  • Self-motivated and able to work independently with minimal supervision.
  • Excellent judgment and problem-solving abilities.
  • Professionalism and the ability to interact effectively with all levels of the organization as well as external contacts.
  • Proven ability to manage multiple priorities in a fast-paced setting.
  • Familiarity with business, personal, and social etiquette.
  • Polished and professional demeanor.
