Unit Secretary – CVH Medical Device Reprocessing (MDR)

Supporting both hospital sites and in collaboration with the interdisciplinary team, the Unit Secretary provides clerical and administrative support to maintain a progressive, efficient and organized medical device reprocessing department. The Unit Secretary manages the overarching administrative function within MDR and works in a fast paced, dynamic setting to provide world class healthcare.

The Unit Secretary, MDR will provide clerical and administrative assistance to the team including documentation management and validation, record keeping in compliance with Canadian Standards Association (CSA) guidelines, inventory management, KPI dashboard maintenance, produce and distribute minutes for meetings and assist MDR leadership with updating policies and SOPs. The Unit Secretary will support and assist with the instrument tracking system including system updates and sharing updates with staff. Duties include working with CSSO to ensure accurate time keeping, training records and management of all maintenance activities. The Unit secretary will perform incident tracking and analysis and be first point of contact for OR concerns, queries, complaints or incidents. Other duties may include but are not limited to assistance with regular inspections, ad hoc surveys, special projects related to Hospital operations (Accreditation) or legislative initiatives.

What must you have?

  • Grade 12 or equivalent.
  • Working knowledge of Medical Terminology

What else do you bring?

  • Prior experience in an administrative/clerical role required, preferably within a healthcare environment.
  • Keyboarding skills (40 wpm).
  • Experience with computer applications, including Microsoft Office.
  • Must demonstrate excellent verbal and written communications skills.
  • Must demonstrate excellent organizational skills.
  • Demonstrates ability to effectively deescalate situations
  • Demonstrates Customer Service skills
  • Proven attendance record.
  • Demonstrates understanding and complies with patient and staff safety policies and procedures that foster a safe and inclusive environment for all.
  • Ability to perform the essential duties of the job.
  • Effectively uses empathy in interactions with others and demonstrates behaviours consistent with Mackenzie Health’s Commitment to Caring.

Preferably, your profile also includes:

  • Experience in Medical Device Reprocessing
  • Certificate in Medical Device Reprocessing
  • EPIC, UKG experience.
  • Previous experience within the Unit Secretary classification.
