We are seeking a motivated, detail-oriented, and organized professional to join our team as a Property Administration Office Manager.

Position Overview

The Property Administration Office Manager will be responsible for supporting the day-to-day operations of our property management team and ensuring the efficient administration of our commercial real estate properties. This role requires strong organizational skills, attention to detail, and the ability to multitask in a fast-paced environment. The ideal candidate will have experience in property management or real estate operations and possess excellent communication and customer service skills.

Key Responsibilities:

  • Oversee daily office operations and provide administrative support to the property management team.
  • Serve as the primary point of contact for tenants, contractors, and vendors, addressing inquiries and coordinating maintenance requests.
  • Assist in lease administration, including preparing documents, tracking lease renewals, and managing tenant records.
  • Manage tenant billing and accounts receivable, ensuring timely payments and resolving any discrepancies.
  • Maintain and update property databases, tracking lease terms, key dates, and other relevant property information.
  • Assist in preparing and distributing reports on property performance, including financials, occupancy rates, and maintenance schedules.
  • Coordinate property inspections, vendor services, and maintenance requests.
  • Ensure compliance with company policies and industry regulations, including health and safety standards.
  • Provide general office support, including scheduling meetings, managing calendars, and handling correspondence.

  • Proven experience in property management, real estate administration, leasing, and property management.
  • Strong organizational skills with the ability to manage multiple priorities and meet deadlines.
  • Excellent communication and interpersonal skills.
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook) and property management software (e.g., Yardi, Space, or similar platforms).
  • Knowledge of lease agreements, rent rolls, and commercial real estate operations is a plus.
  • Ability to maintain confidentiality and handle sensitive information.
  • A proactive, problem-solving mindset with strong attention to details.
  • Fluent in English and French.
