The Real Estate (NOSI) Administrator role will represent Reliance Home Comfort and collaborate with the Law Society and real estate law offices on a daily basis. This position is primarily responsible for preparing and registering security documentation, including Notices of Security Interest, responding to law office inquiries, coordinating with vendors, and handling various back-office administrative tasks. The role requires strong attention to detail, organizational skills, and the ability to effectively communicate with legal professionals and vendors to ensure accurate and timely processing of documentation and information requests.

What will you do?

  • Oversee real estate sale and refinance transactions involving Company Security registration from initiation to completion, including timely response to law offices and customer inquiries via email.
  • Prepare and register security interests for rental and finance portfolios using various systems, ensuring accuracy and compliance.
  • Review documents and create data sheets for vendor processing, ensuring completeness and adherence to standards.
  • Submit work to vendors according to departmental standards, maintaining efficient workflows and quality control.
  • Track progress, perform data entry of completed tasks, and monitor workflows to ensure timely completion.
  • Maintain daily tracking for month-end reporting, providing accurate data and updates as required.
  • Manage inbound inquiries through the Smartsheet portal, addressing customer and law office requests efficiently and professionally.
  • Support customer and law office inbound queue to answer calls relating to request submitted through Portal.

What do you bring?

  • Post-secondary education and equivalent work experience within a law clerk capacity
  • Minimum 2 to 3 years previous real estate administration and transaction experience.
  • Previous experience with Notices of Security Interest documents, other provinces security registration and title search system.
  • Strong vendor relationship management
  • Knowledge of SAP system considered an asset.
  • Excellent communication and interpersonal skills
  • Strong analytical skills with emphasis on detail and accuracy
  • Responsive and easily adapts to change.
  • Strong Microsoft office skills (MS Office, Word, Excel)
  • Excellent time management and organizational skills
  • Highly motivated self-starter able to take initiative and problem solve.
  • Team player comfortable working as part of a close-knit team
