Our client is seeking a Intermediate Project Coordinator with Microsoft experience to support cross functional teams.
Location: Edmonton preferred (Hybrid Model)
Start Date: December 16, 2024
Duration: 6 months (with potential for extension)
Job Overview:
The Systems Business Technology team is hiring a Project Coordinator to support various projects and program activities within the Business Technology Utilities IT Portfolio. This role involves assisting program and project teams, managing tools and documentation, facilitating governance processes, and enabling efficient delivery of IT programs.
The Project Coordinator will report directly to the Program Manager and may also oversee small, non-complex projects as part of their responsibilities.
Must-Have Qualifications:
- Minimum of 3 years of experience as a Project Coordinator or Junior Project Manager in an IT organization.
- Proficient in Microsoft Office (Word, Excel, PowerPoint, and Outlook).
- Experience with O365 tools, including basic SharePoint and Teams Administration.
- Experience with IT governance and project gating structures.
Nice-to-Have Qualifications:
- Utilities experience
- Bachelor’s degree or equivalent post-secondary education.
- CAPM certification.
- Experience using MS Project.
- Familiarity with change management principles and practices.
- Strong facilitation and critical thinking skills.
Key Responsibilities:
- Assist the Utility Portfolio team and Project Managers (PMs) within the Business Technology portfolio.
- Manage and maintain SharePoint and Teams sites for program portfolios.
- Create and deliver program communications, reminders, and training.
- Provide training to new PMs on program-specific processes.
- Liaise with the IT Governance Gating Body to ensure PMs access the latest governance templates.
- Develop and distribute program-specific templates and process documentation.
- Support the Delivery Assurance Management team with materials for bi-weekly portfolio review meetings.
- Manage the program team calendar and assist in engaging Managed Service Providers.
- Build and maintain business case documentation.
- Oversee small, non-complex projects as needed.
- Facilitate meetings, document discussions, and distribute minutes to stakeholders.
- Complete tasks as assigned by the Delivery Assurance Management team.
