Job Description:

The Senior Project Coordinator (PC) will work closely with the Corporate Real Estate internal or external Project Manager (PM) or Program Manager and other project stakeholders in the planning and delivery of a variety of projects both large and small. The PC is a partner in the successful delivery and tracking of Corporate Office and Financial Center renovation and new build projects across the CRE portfolio.

What will you do?

Reporting and document Management:

  • Project set up in Project Management system.

  • Manage storage of project artefacts.

  • Prepare and issue project status reports and executive reports.

  • Coordinate and attend project meetings, prepare agenda and capture minutes, risks, actions, issues and decisions (RAID).

  • Coordinate and report on project close out activities ensuring control documents are collected and filed.

  • Provide support on project procurement, financial accounting, reconciliations and cost management.

Project Coordination:

  • Support the project team with various tasks to aid in the delivery of projects.

  • Responsible for obtaining and tracking supplier quotations as required by PM. Issue, record and track purchase orders.

  • Manage and follow up on invoices from suppliers.

  • Manage smaller projects such as signage installation, carpet and paint refresh.

  • Support the PM in the delivery of renovation projects which may include site checks, construction reviews, supplier install activities.

  • Track project budgets and schedules as required for each project phase on assigned projects.

  • When directed by PM, act as a liaison with the project contractor's consultants and suppliers to expedite work.

  • Coordinate tender packages, receipt and award.

  • Support the PM on project deficiency and warranty resolution as well as new Day 2 requests.

  • Take an active role in the move management activities, including but not limited to creation of move packages, interface with Sun life employees in the support of move related activities, on site management during moves, which may include afterhours work.

What do you need to succeed?

  • 5+ years’ experience in supporting Corporate Real Estate projects.

  • Post Secondary Education or equivalent required.

  • Strong organization and time management skills.

  • Ability to manage multiple conflicting priorities.

  • Experience with Commercial Real Estate Sector project management disciplines i.e.: relocation management, facility infrastructure, construction and renovation, furniture, engineering and consultants, etc.

  • Creative problem-solving abilities.

  • Ability to manage multiple assignments simultaneously and work well in a "matrix" organization.

  • Ability to work with multiple Project Managers at any given time.

  • Expertise in business software in particular Excel, Word, PowerPoint, Teams.

  • Experience in managing project management tracking tools.

  • Excellent written and oral communication skills including client facing skills.

Prefered skills:

  • A university degree in Business, Project Management, Engineering, Architecture or Construction would be an asset.

  • Accreditations in Project Management, LEED and/or wellness programs such as WELL, Fitwel, etc) would be an asset.

  • Bilingualism (French/English) would be an asset.

The Base Pay range is for the primary location for which the job is posted. It may vary depending on the work location of the successful candidate or other factors. In addition to Base Pay, eligible Sun Life employees participate in various incentive plans, payment under which is discretionary and subject to individual and company performance. Certain sales focused roles have sales incentive plans based on individual or group sales results.
