Grant & Contract Specialist - Full-Time
We currently have a full time opportunity for a Grant & Contract Specialist in the Research Finance department, Sunnybrook Research Institute (SRI), located at the Bayview Campus.
Summary of Duties and Responsibilities:
Reporting to Manager, Financial Planning & Reporting, the Grant & Contract Specialist will be an integral member of the Research Finance team in providing effective and efficient services to researchers and academic administrators in the grant application process and in the development and negotiation of research contracts and grant agreements. This role will require the successful candidate to work independently as well as collaboratively within a very busy client environment.
Principal responsibilities include:
A. PRE-AWARD RESEARCH ADMINISTRATION
Reviewing grant applications and assisting in the submission of grant applications (e.g. CIHR, CCSRI, NIH, CDMRP)
Providing advice and assistance to internal stakeholders on the preparation of budget proposals for compliance with Sunnybrook/SRI and sponsor/granting agencies policies
Identifying, reviewing and communicating funding opportunities to researchers and other internal stakeholders
Responding to inquiries regarding funding opportunities, guidelines and/or application processes
Analyzing trends and providing information on research application/funding, as required
Drafting, reviewing, and negotiating research contracts and related subcontracts, including budgets, with collaborating institutions, non-for-profit organizations, and other universities/hospitals
Reviewing and negotiating grants/awards with granting agencies, non-profit organizations and federal/government agencies
Ensuring that all grants/contracts comply with Sunnybrook/SRI institutional policies and procedures
Conducting risk assessment and protecting the legal and financial rights/obligations of SRI, its Principal Investigators, and other internal stakeholders involved
B. POST-AWARD RESEARCH ADMINISTRATION
Review, negotiate, and draft Amendments to existing funding agreements
Other ad hoc research administration tasks
C. MANAGEMENT OF DATABASES
Ensure all contract records are logged and tracked in the Sophia Knowledge Management System
Maintaining and logging accurate records of grant applications and contracts/agreements on MS Excel
D. LIASON WITH LEGAL SERVICES & OTHER INTERNAL/EXTERNAL STAKEHOLDERS
Liaising with Sunnybrook Legal Services to review contract budgets/financial terms and make appropriate recommendations
Providing advice and assistance to internal stakeholders and other members of the administrative staff in relation to pre- and post-award research contracts
Note that this role requires the incumbent to be on site 2-3 days a week
Qualifications/Skills
Must haves:
Education
• Paralegal or Law Clerk certificate/diploma or degree
Experience
• Experience in the review of grant applications and/or contracts, including budget development with a minimum of 1-3 years of experience
• Experience in using word processing, spreadsheet, database, Internet applications and tools
Skills
• Knowledge of risk management principles
• Demonstrated record of reviewing financial terms in the contracts
• Effective verbal and written communication within and among groups
• Ability to prioritize tasks, meet deadlines and manage multiple projects simultaneously
• Outstanding interpersonal and organizational skills
• Detail oriented, resourceful, innovative, flexible, accessible
• Proven capacity to excel in an independent, highly confidential, ever-changing work environment
Nice to have:
Education
• Undergraduate degree in business administration, paralegal, law or a related discipline
Experience
• Experience in a contract law environment is highly valued
Skills
• Knowledge of contract law and principles of contractual agreements is highly valued
• Knowledge of the Sophia Knowledge Management System and Adobe Sign is an asset
