General Purpose

The Customer Service Assistant provides front-line customer service for the Business Development Centre to staff, clients, and other stakeholders of the University of Guelph, Ridgetown Campus.

Duties and Responsibilities

Answering enquiries from clients to provide information about certification process and provide with appropriate resources such as web site addresses or information from their records in the database. Accepting and entering client registrations, via web registrations, phone or email into the computer database program, ensuring client information is complete and client is in the applicable course and send confirmations via email or occasionally mail. Signup of clients according to their expressed learning needs, including arranging individual test appointments and respond to phone and email requests for information, such as course materials, schedules, participant results & payment receipts from clients, training facilitators, book depot locations. The position is responsible for data entry and processing of certificates, including accurately entering information into the database, printing and mailing of certificates, letters and/or training cards. The successful incumbent will also be responsible for shipping, inventory management, contacting training facilitators and general office administration such as incoming and outgoing mail, performing clerical tasks including photocopying, scanning, faxing, sending emails, updating documents and filing.

Requirements

  • Secondary School Graduation with 6 to 9 months working experience.
  • Oral and written communication skills.
  • Competency in various computer systems, including Microsoft Office (Word, Excel, PowerPoint), Adobe Suite, and operation of printers, copiers and fax machines.
  • Demonstrate tact, diplomacy, patience and sensitivity to issues, concerns and needs of staff and clients.
  • Demonstrated ability to meet deadlines, work well under pressure and perform efficiently in a busy work environment with accuracy and attention to detail.
