General Purpose

Reporting to the Manager of Graduate Admissions, the Graduate Admissions Specialist is one of three specialists in the Office of Graduate and Postdoctoral Studies (OGPS). This position focuses on providing centralized international transcript and credential evaluation support for graduate program application assessments. It also includes advising prospective students on admissions and programs, training graduate program assistants in the evaluation of domestic and international transcripts and coordinating the final offer of admission.

As the subject matter expert on all issues related to admissions, the Graduate Admissions Specialist coordinates and implements the admissions process from the initial application to the offer of admission, in accordance with graduate studies admissions standards, policies, and procedures.

Duties and Responsibilities

  • Evaluating domestic and international transcripts, using policies and approved external services/data sources to assess the equivalency of international studies.

  • Promoting the University of Guelph’s over 90 graduate programs to prospective students both inside and outside of the office, as well as representing the university externally.

  • Managing prospective student and applicant inquiries.

  • Verifying the completeness and authenticity of academic credentials.

  • Training over 55 Graduate Program Assistants in international transcript evaluation for graduate admissions and serving as a resource for admission processes through OGPS systems and one-on-one sessions.

  • Administering the final offer of admission and ensuring each applicant who accepts their offer of admission meets all admission conditions.

  • Maintaining active communication with faculty and staff in graduate program offices and within the OGPS.

  • Using systems, primarily Colleague and ImageNow, to process applications, update records, administer admission decisions, train graduate program assistants, and track Weighted Grant Units (WGUs) for applicants who have completed additional graduate work.

Requirements:

  • Two years Community College in a related program and a minimum of one (1) year of related experience, or an equivalent combination of education and experience.

  • Knowledge of post-secondary educational systems.

  • Proficiency in Microsoft Office 365 (Outlook, Word, Excel, PowerPoint, SharePoint), Adobe Acrobat, and use of File Transfer Protocol.

  • Demonstrated high level of diplomacy, judgment, and tact, with the ability to work effectively both independently and as part of a team.

  • Ability to manage time-sensitive tasks while maintaining accuracy and attention to detail in a fast-paced environment with frequent interruptions.

  • Excellent communication and presentation skills, along with strong organizational, prioritization, and multi-tasking abilities.

  • Experience working with the Student Information System (Colleague) and Document Management System (ImageNow) is an asset.

  • Familiarity with university policies and procedures related to graduate studies is an asset.
