Reporting to the Regional Director, Quality & Patient Safety, the Patient Safety Learning System (PSLS) Coordinator, coordinates all aspects of the PSLS assigned projects across Vancouver Coastal Health (VCH). The PSLS Coordinator supports strategic planning initiatives through coordinating authority-wide phased implementation and system updates for the PSLS software within designated units/departments. This position is the acknowledged expert in designated PSLS modules and works with stakeholders to streamline and standardize processes and ensure policies, procedures and standards are adhered to in relation to PSLS. Identifies and ensures that functional PSLS issues are resolved effectively and in a timely manner and continually looks for opportunities to maximize usage of the system to ensure on-going business process improvement. Communicates with all levels of designated business area users and management within VCH and external business area counterparts including BC Patient Safety Learning System central office application team to address system/interface needs and issues, test system solutions, resolves technical and business issues regarding critical system dependencies. Participates on PSLS committees as required. Works closely with the managers, unit project leads, and steering committee to address needs of the PSLS users and is responsible for effectively communicating with and training PSLS users (train the trainer) on the functionalities and purpose of the PSLS system. Assists in writing queries to pull information from the system. Identifies opportunities to further take advantage of the system and keeps up to date with new and upcoming functionality. Provides technical leadership and direction to project resources and provides advice and system recommendations to business area team members and other corporate department stakeholders. Liaises with various Health Authorities to exchange best practice process implementation.

As a Safety Learning System (SLS) Coordinator with Vancouver Coastal Health you will:

  • Act as a subject matter expert providing business and technical advice to both internal users and external partners to ensure that business needs are met and to ensure the application is used to its full potential. Maintain up to date knowledge regarding new and upcoming system functionality.

  • Work closely with stakeholders at all levels in issue resolution and business process improvement. Identify opportunities and make recommendations for application improvements by ensuring system enhancements are developed, tested, deployed and function according to agreed upon requirements.

  • Configure system changes and prepare related documentation for changes impacting on system processing, other PSLS modules including changes to common data elements across shared modules, and any changes requiring use of the Application Designer tools.

  • Identify and facilitate application of best practices and ensure strong process methodology and evaluation of PSLS initiatives. Ensure expedited resolution to problems or barriers to enable successful implementation of solutions.

  • Coordinate and deliver training sessions, drive train-the-trainer activities, and provide one-on-one guidance. Ensure training sessions are evaluated for effectiveness. Develop and maintain training materials and reference documentation related to new systems/processes to ensure knowledge transfer and consistent usage by users.

  • Develop and revise queries in PSLS to customize reports to meet user needs and conducts system audits to ensure data integrity.

  • Maintain ongoing support for initiatives from project sponsors and user groups, keep stakeholders aware of project status and ensure effective communication channels are in place.

  • Represent the department at meetings and committees, establish and maintain clear lines of communications between user department and technical team members. Build relationships with stakeholders that enable the sharing of knowledge and information and encourage collaboration on issues.

  • Support the analysis of incidents, claims and complaints in identifying trends in areas of particular risk, in conjunction with Quality & Patient Safety and Risk Management staff.

  • Coordinate with project team members to convey priorities and ensure issues are resolved or escalated to the appropriate stakeholders.

Qualifications

Education & Experience

  • Bachelor’s Degree in health care or related discipline supplemented by related Information Systems courses.
  • Five (5) to seven (7) year's recent, related experience with an emphasis on clinical systems or an equivalent combination of education, training and experience.
  • Experience and education in quality and patient safety or risk management is preferred.
  • Excellent communication skills to function within a complex interdisciplinary environment.

  • Maintains a strong sense of ownership and a results-oriented attitude to continually improve processes and systems, enhance efficiency and contribute to overall organizational success.
  • Utilizes initiative, vision, independent thinking and creative problem-solving abilities to implement project plans and realize project completion.
  • Expertly applies knowledge of interface and application design to build solutions that meet requirements as well as business and technical needs of the organization.
  • Applies comprehensive knowledge and skill in change management theory and leadership in facilitating consensus.
  • Uses a strong understanding of business functions, interdependencies and processes to ensure data accuracy and currency and enhance/develop the Safety Learning System (SLS).
  • Applies solid technical and troubleshooting abilities to map and extract accurate data for submission to external agencies, provide advice and guidance to stakeholders and ability to achieve consensus, resolve conflict and achieve desired outcomes.
  • Uses strong communication skills and the ability to establish and maintain strong communication channels with stakeholders.
  • Keeps abreast of technological changes, anticipates opportunities and ensures readiness for future technology changes and enhancements
