Your Opportunity

BDO Global is seeking an Executive Assistant to support the Catalyst Programme Executive team by supporting them in managing the range of responsibilities they hold, particularly as they balance their roles as Executives on the Programme with continued operational delivery.

The global office is headquartered in Brussels, Belgium; however, the position is based out of Toronto, Canada. This is a full-time, primarily remote position.

This role is for a resourceful, adaptable and organized EA who is comfortable working with a small team of senior individuals with different working styles and demanding roles in multiple time zones. The key requirements will include diary management, meeting organization and travel arrangements as well as supporting in the provision of information packs for management and board meetings.

Priorities include:

  • Developing a strong working relationship with the Executive team, quickly understanding their roles and responsibilities, their personal styles and approaches as well as the company’s culture
  • Managing complex diary management across multiple time zones
  • Planning and managing complex travel arrangements with awareness of Executives priorities and preferences
  • Proactively planning and following up from key meetings
  • Acting as an effective and appropriate conduit of information and communication between the Executives and the wider team of colleagues, appropriately representing the Executives voices and messaging
  • Working as part of a small team as part of the Projects & Operations, managing key internal Board or Programme related events and assisting other Executives and senior team members during periods of staff absence.
  • Creation of various documents including Word and PowerPoint materials for circulation to leadership

Your experience and education

  • Prior PA or EA experience for an executive team, ideally in a professional services environment but certainly with highly educated professional colleagues
  • Excellent written and oral communication skills with fluent written English
  • Excellent organization skills and attention to detail
  • Self-motivated and well organized; constantly thinking ahead
  • Able to manage multiple activities for different people under time pressure; able to flex to different working styles and personalities
  • Calm, personable and diplomatic
  • Able to balance high levels of discretion with a warm, trusting and collaborative style
  • Demonstrate the ability to balance priorities among competing needs whilst providing the highest level of value to BDO
  • Excellent interpersonal and written communication skills, including the ability to influence and drive other team members, and to engage effectively with senior stakeholders
