We currently have an exciting opportunity for a Full Time Human Resources Support Representative. The successful candidate will provide administrative support to the centres of expertise within the Human Resources (HR) department with direct impact on leaders and their people management know how, and drive operational effectiveness through system and process optimization that enhances our internal client experience. They will act as a first point of contact for all customers to the HR team and provide departmental HR administrative support.

 

 

Reporting Relationship: Director, Total Rewards and HR Analytics

Location: Humber River Hospital - Wilson Site 

Hours of work:  Monday - Friday; Days ONSITE

Employee Group:  Non-Union

 

 

Position Responsibilities:

  

HR Services & Administration

  • Provide Tier 1 general HR customer support to managers, employees and general public on routine HR-related issues (e.g. recruitment, compensation, benefits, leave, and HR policy and procedures); refer more complex HR issues to appropriate specialist or leader
  • Provide clerical and administrative support to HR management team; including meeting coordination (e.g. confirm meeting participants, book rooms, order catering), mail outs, cheque requisitions, etc.
  • Monitor, prepare, coordinate and maintain information related to purchase orders and departmental supplies inventory and place orders upon Manager approval
  • Coordinate and distribute daily mail pickup and courier services
  • Provide administrative support for various HR employee events - i.e. annual Long Services Awards

Employee File Coordination

  • Create new employee files and maintain filing with applicable documents in timely manner
  • Coordinate the employee file system to provide appropriate access and controls and maintain files and records in accordance with legal requirements, and company policies and procedures
  • Update HR database with accurate employee data (e.g. name/address changes, banking information etc.)
  • Respond to, track, and process employment verification letters and legal requests

  

Qualifications: 

  • Completion of High School Diploma
  • Minimum one year Human Resources support experience required, healthcare/unionized experience preferred.
  • Strong knowledge of MS Office (Outlook, Word, Excel, PowerPoint, etc.)
  • Superior customer service and interpersonal skills
  • Attention to detail to deal effectively with staff and the general public in a variety of situations
  • Excellent organizational and time management skills with the ability to be flexible and work within tight time constraints in a fast-paced environment
  • Ability to work effectively and independently in a team setting with minimal supervision.
  • Support project tasks and prepare related documentation for Manager approval
  • Recommend process improvements, new HR system changes, and test changes prior to implementation with Manager approval
  • Demonstrated knowledge of relevant legislation including Employment Standards Act, Ontario Human Rights Code, Accessibility for Ontarians with Disabilities Act, Occupational Health & Safety Act, Workplace Hazardous Materials Information System and Ontario Labour Relations Act (OLRA)
  • Strong awareness of Freedom of Information and Personal Privacy Act, Personal Health Information Protection Act, Personal Information Protection and Electronic Documents Act
  • Operational policies and processes, including those specific to HR
  • Working knowledge of union collective agreements
  • Previous experience submitting, maintaining and tracking office supply purchase orders
