Secondary School Office Assistant

Merivale High School

Position Status: 100% Term Assignment to December 31, 2025

Work Year: Works 10.5 months per year

Hours of Work: Monday-Friday; 7:30 am - 3:30 pm; 35 hours per week

Salary range: ESP , Level 4: $22.98 to $28.52 per hour

Ability to speak Mandarin is considered an asset.

Under the direction of the Secondary School Office Administrator, the Secondary School Office Assistant assists staff, students, parents, and public; ensures the safety and well being of students, maintains student and staff information; and supports the school office. The Office Assistant may be assigned to one or more areas: main office, front reception, school generated and/or board funded accounts, assisting in the school library, and/or supporting guidance office.

Qualifications

Completion of a secondary school diploma and 1 to 2 years related experience; or an equivalent combination of education and experience. Continual upgrading of computer skills is required.

Familiarity with relevant legislation including Municipal Freedom of Information and Protection of Privacy Act; The Immunization of School Pupils Act, Ministry Ontario Student Record (OSR) Guidelines;

familiarity with OCDSB and school policies and procedures including OCDSB Admissions-Enrollment Guidelines, OCDSB Purchasing Manual etc.;

proficiency in the operation of word-processing, database, accounting software, spreadsheet, desktop publishing, electronic mail, integrated and other software applications; use of google applications, including email and calendaring.

ability to operate standard office equipment, and administer public address system;

organizational and time-management skills required to prioritize work.

Writing skills required to prepare correspondence/reports.

Interpersonal and communication skills to exchange, and clarify information, Board and school policies, and to understand and respond to inquiries using tact, diplomacy and discretion when dealing with public, staff and students.

Accounting skills to maintain budget (only if applicable to the assignment)

First Aid certification would be an asset.

1. Applications from Regular full-time and part-time employees within ESP bargaining unit are given first consideration. (Apply to the Internal Posting)

2. Applications from term and casual employees within ESP bargaining unit are given 2nd consideration. (Apply to the External Posting)

3. Applications from External candidates (including Board employees that do not belong to this bargaining unit) will be considered only if applications from 1 & 2 have been exhausted. (Apply to the External Posting)
