The Department of Family Medicine (DFM) is looking for a motivated self-starter who thrives in a team environment. As an Administrative Support V with the Calgary DFM, you will be responsible for providing advanced administrative support for coordinating and managing contracts, payments, and clinical tracking of the Academic Department of Family Medicine. To be effective, it is critical that the individual exercise critical thinking, problem-solving and informal leadership skills with the AMHSP and clinical ARP program support staff. This role is often the first point of contact for the AMHSP and clinical ARP Physicians and supports departmental and program initiatives including process improvement, developing procedures and guidelines, maintaining, and creating documentation, and leading projects as assigned. To be successful in this role you will be organized, professional, a team player, and proactive with strong skills in problem-solving, prioritization, multi-tasking, critical thinking, informal leadership, and communication. Description: Drafts and prepares contracts, agreements, and academic appointments and submits to leadership for review & signatures. Pulls information from the EMR to track physician’s daily clinical activities and other approved clinical activities and enters into the clinical tracking. Work closely to collect and verify the accurate data from the administrative team at each teaching site (3 clinical teaching sites). Prepare meeting agendas, coordinate, and book guest speakers, ensure technical equipment is in working order and arrange teleconference and/or Virtual meeting as required. Record and transcribe minutes. Take on other duties as assigned.

As an Administrative Support V, you will require advanced administrative or specialized skills and knowledge to support complex procedures, practices and initiatives within a department or program.

Completion of post-secondary education (e.g. certificate in office or business administration).

Advanced training in Microsoft Office Suite particularly Word, Excel, and PowerPoint. 3 years or more of intermediate-senior administrative experience. Excellent verbal and written communication skills. Ability to think critically, problem-solve complex issues, and prioritize effectively to meet objectives. Demonstrated experience in collaboration, coordination, and negotiating with multiple stakeholders. Innovative and able to work independently in a fast-paced changing environment. Excellent organizational and time management skills.

Experience working with Alberta Health Services or the University of Calgary in a professional setting. Software experience in Publisher, Visio, PeopleSoft, e-people, Websites (Drupal), Reference Manager, etc., is an asset. Previous experience in medical/academic settings would be an asset.
