The Administrative Support V is responsible for a high level of professional, well-organized administrative support for the Executive Director, as well as day-to-day operational support for the Critical Care and Respiratory Portfolio assigned to the Executive Director. Working under limited supervision, you are responsible for managing the Executive Directors calendar, email, preparing material for presentations, drafting memos and reports, providing support and follow-up for key issues and meetings. Duties also include generating recruitment requisitions, coordination of recruitment files and interviews, tracking performance conversations, professional development and vacation requests, correspondence, minute and report writing, timekeeping and file management. Works closely with other management, clerical and clinical staff as the first point of contact for the Critical Care and Respiratory Services Portfolio.

As an Administrative Support V, you will require advanced administrative or specialized skills and knowledge to support complex procedures, practices and initiatives within a department or program.

Completion of post-secondary education (e.g. certificate in office or business administration).

Grade 12 diploma and post - secondary education. Completion of an Administrative Professional diploma or post-secondary education in Secretarial Arts, Office Assistant, Business Administration. Minimum five (5) years’ experience in a healthcare-based organization in administrative positions of progressively increasing responsibility required.

Advanced knowledge of computer and applications including but not limited to: Microsoft Word, Access, Excel, Outlook email, and PowerPoint. Minimum typing speed of 70 wpm. Resilience and flexibility in a complex, rapidly changing environment. Excellent organizational communication, problem-solving, interpersonal skills. Ability to work independently, under pressure, within short timelines, without compromise to quality. Excellent formatting, grammar, syntax and proof-reading skills.
