Executive Associate

Working directly with the Zone Medical Director (ZMD), Calgary, the Executive Associate is responsible for providing comprehensive senior administrative management services to the Medical Affairs portfolio. The Executive Associate role involves significant writing, including drafting reports, preparing presentations, and crafting communication materials to support initiatives and projects aligned with Alberta Health Services Mission, Vision and Values. The Executive Associate is instrumental in planning and implementing strategies that help achieve the Medical Affairs portfolios goals. Responsibilities encompass office management, issues management, portfolio planning, project management, stakeholder liaison, and extensive executive administrative support to the ZMD in overseeing zone wide initiatives, ensuring seamless collaboration and continuity within the Medical Affairs portfolio. In addition to managing a wide range of sensitive and complex issues, the Executive Associate provides background and strategic advice to the ZMD on issues related to administrative management, policies and organizational matters. By maintaining strong communication and utilizing strong organizational skills, the Executive Associate plays a crucial role in supporting the ZMD and the Calgary Zone Medical Affairs leadership team in effectively achieving their objectives.

Executive Support and Strategic Planning - 30% Provides advice, counsel, options, recommendations and perspectives to the ZMD on office, portfolio or Alberta Health Services matters, projects or issues. Issues Management - 25% Leads efforts to resolve complex operational and organizational issues related to the ZMD portfolio. These issues span the entire care continuum, from prevention to tertiary services, and directly affect strategic direction and resources. Involves collaboration with key partners and stakeholders both within the division and across the organization and province. Many of these matters are confidential and can significantly impact the organization. Project Management & Committee Support - 25% Manages complex projects with system-wide impact including the development of comprehensive project plans, communication with key stakeholders and monitoring outcomes and results. The position will provide strategic and administrative advice and services to various departmental, portfolio and Alberta Health Services committees. Relationship Management/Liaison - 15% Develops strategic alliances with key internal and external stakeholders and engages a variety of partners in collaborative planning. Assumes the role as liaison within the portfolio, across Alberta Health Services and to outside bodies to ensure the portfolio and Alberta Health Services are represented. Financial Management - 5% Ensuring expenses and financial management is handled responsibly.

A minimum of a university degree in health services administration, business administration or related area. Extensive knowledge of Alberta Health Services strategic direction, operating requirements, as well as policies and procedures. Understanding of various provincial and national physician governing bodies/licensing authorities and related physician representative organizations Ability to lead and direct work on behalf of their ZMD and executive team. Proven ability for drafting documents, preparing speaking notes and writing Proven ability to work within a team as a contributing member. Excellent oral and written communication skills. Experience working independently within a large organization with a variety of staffing groups Proven ability to work collaboratively with other team members from other areas of expertise, and with the most senior management within the organization.
