THE POSITION

Join our team as an Administrative Manager and become the essential link between our general management, internal departments and external partners. You'll be at the heart of complaint management, communications and the preparation of crucial documents, while participating in various administrative committees. THE RESPONSIBILITIES

  • The position of Administrative Officer reports to the Director General and usually involves performing all or some of the following responsibilities and duties:
  • Act as the person responsible for processing complaints in compliance with applicable laws, policies and processes. Manage complaints and ensure fair processing in difficult situations involving parents, students or stakeholders wishing to lodge a complaint. Gather and analyze relevant information, communicate with the relevant school board's expert, and follow the progress of complaints through to conclusion, producing reports in accordance with established processes.
  • Act as liaison between the school board's general directorate, various internal departments and external organizations.
  • Ensure follow-up and compliance with project deadlines, as well as the progress of various committees related to the school board's general administration and arising from its strategic planning.
  • Manage communications, by e-mail or telephone, addressed to the general directorate, verifying requests and needs. Ensure a rapid and appropriate response and/or follow-up with the Director General or other senior staff.
  • Inform the Director General of actions taken.
  • Participate in various administrative committees, ensure follow-up with general directorate and various partners, and prepare required reports.
  • Carry out all other required administrative tasks and participate in the realization of special projects as determined by the general directorate.  


QUALIFICATIONS REQUIRED

  • Diploma of college studies in a relevant field and four years of relevant experience

or

  • Secondary V diploma in a relevant field of study and eight years of relevant experience
  • Sound work ethics and commitment to excellence and attention to detail
  • Excellent skills in oral and written English & French
  • Ability to maintain confidentiality at all times and exercise discretion and good judgment.
  • Ability to work with a high level of autonomy and demonstrated flexibility
  • Proven time management skills and the ability to manage multiple tasks
  • Strong prioritization skills with the ability to adapt to change
  • Excellent organization skills
  • Excellent knowledge of Office 365 applications and the Microsoft environment. Interest, curiosity and ability to learn and adapt quickly to new platforms
  • Knowledge of project management software would be an asset
  • Team player with sound interpersonal skills along with the ability to develop effective working relationships with various stakeholders, (staff, peers, parents, external resources, etc.)
  • Solid analytical, problem-solving and conflict-resolution skills

QUALIFICATIONS REQUISES

  • Diplôme d’études collégiales dans un champ d’études approprié et quatre (4) ans d’expérience pertinente 

ou 

  • Diplôme d’études secondaire et huit (8) ans d’expérience pertinente 
  • Une forte éthique de travail et de l’engagement à l’excellence et attention aux détails 
  • Excellentes compétences orales et écrites autant en anglais qu’en français. 
  • Capacité à maintenir la confidentialité en tout temps et à faire preuve de discrétion et de bon jugement. 
  • Habileté à travailler avec un haut degré d’autonomie et démontrer de la flexibilité 
  • Habileté à prioriser et gérer son temps et à travailler sur plus d’un dossier à la fois
  • Capacité de s’adapter aux changements 
  • Excellentes habilités d’organisation
  • Excellente connaissance des applications Office 365 et de l’environnement Microsoft. Intérêt, curiosité et habileté d’apprendre et de s’adapter rapidement à de nouvelles plateformes
  • Connaissance de logiciel de gestion de projets serait un atout
  • Esprit d’équipe et de grandes habiletés interpersonnelles ainsi qu’une capacité à développer des relations de travail efficaces avec les différents intervenants (employés, paires, parents, ressources externes, etc.) 
  • Bonne capacité d’analyse, de résolution de problème et de résolutions de conflits.
